1:N bookings with custom questions pulled to sharepoint lists

Hi,

 

I have built a group booking service that has some custom questions on the booking page. 

I have set up a flow that adds a record to a sharepoint list when a booking is updated. I can get standard data like the name and email to pull across, but I can’t get the custom questions over. 

I have 4 custom questions and I would like each answer to show in a column in the sharepoint list. Is this possible?

I apologies for creating a confusion, we should use variable to collect the answer or response for custom action instead of compose action which remains inside the scope of 'Apply to each' and we could not retrieve its value outside the loop.

 

Here are the correction you need to do:

1. Initialize 4 variables for 4 custom questions using 'Initialize variable' action. All the variables should be initialized before "Apply to each" action as shown below:

here, I have taken an example of one custom question, but you need to initialize 4 variables. 

 

2. Next, in place of Compose action, you need to collect value in the variable using 'Set variable' action for each case:

pls collect the values of other custom question in the same way in corresponding cases.

 

3. Now, you can use those variables to create an item in SharePoint as shown below:

Hi @JamieHodges 

 

All custom questions are stored in 'CustomQuestionAnswers' array object. You need to iterate that array to get the response for the custom questions.

 

Here is the example:

Add an 'Apply to each' action and pass CustomQuestionAnswers array as input by selecting it from the Dynamic content:

Next, add Switch case to get the answers to each custom question. In each case, compare with the question text so that we will be able to get the answer or response of that question:

Each case will look like this:

In my sample booking, question text was "Question 1" so I have put the same text in the Case 1, pls modify the text as per your need. Similar, you can add multiple cases for each question and collect the answer in compose action or in a variable. Later on, you can use these to save the values to SharePoint list.

Thank you for your quick response. 

I have followed the steps you suggested, but when I get to the create item (sharepoint) section, there are no options for adding the results of the compose elements in the switch. 
Is this an expression I need to write?

Hi @ManishSolanki 

 

I have set up the flow as suggested but I get an error message when I test the flow at the create item stage.

 

The "inputs.parameters' of workflow operation 'Create_item' of type

'OpenApiConnection' is not valid. Error details: Input parameter

'item/D_×002_0_x002e_B' is required to be of type 'String/date'.

The runtime value

to be converted doesn't have the expected format 'String/date'.

When I inspect the areas, I see [] in the field boxes.

Look like you have deleted a field in SharePoint list, pls try to close & reopen the flow in separate browser window or tab.

Hey Jamie,

I would love to know how you added records in 1:N bookings to a SharePoint list.
I have seen that it only creates the first booking record when you choose "when an appointment is created".

When you do "When an appointment is updated" it sends all the records.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
