BadRequest for grant access to an item or folder

Hi,

 

Does somehow can help with my flow error: BadRequest for grant access?

I have flow, which create ~400 excel files and for each excel file system grant access to specific email and always somewhere in mid of process flow run failed with error BadRequest in step, when grant access to file. Where can be the problem?

This is now sounding more like a SharePoint question than a Power Automate question. I tried looking around, but couldn't find anything similar posted on the internet.

Try adding an Ensure User step before the Grant Access action in your flow to make sure the user(s) you are granting access to exist on the site: https://powerusers.microsoft.com/t5/General-Power-Automate/Ensure-user-method-in-Flows/m-p/1631221/h...

1. In Site Address I put my SharePoint address?

2. In the body at the end I put user name, which run this flow or ?

@BCBuizer additional I grant access to the files, not for users, which are members of the SharePoint site, but users, which exist in my SharePoint list, these users I read in the first step "Get list for Sending".

Indeed for site, you give the site address: "SiteName.sharepoint.com". In case you are using environment variables, reference that.

 

In the body you use the exact text as in the example, but replace the dynamic content with your own which should give the UPN (email address) of the user you want to grant access to. Assuming 'Apply to each 2' loops through all items from "Get list for Sending", this should be something like:

@{item()?['User/Email']}

The above assumes you have a Person type column in the SharePoint list, you use for listing the users that need access, called User. 

 

In case these assumptions are wrong and you need support with getting the right dynamic content, please share the correct name and type of the column with the user information in it.

I tried include this user from sender list, but I always receive failed and reason, that system didn't found the user.

All users for which I grant access are not specific SharePoint users, I share only link to specific file to specific user and user I take from SharePoint list.

Can you please share the body of the HTTP action? It seems like you tried ensuring a blank user.

Thanks, I was actually referring to the flow run you posted that failed: what did the body of this action look like when it was passed to SharepPoint, i.e. the input of the 'Send an HTTP request to SharePoint' action. This should reveal whether the email field was blank or not.

I found the reason, why I get this error, here is reason:

"status": 400,
"message": "You cannot share with more than 200 external users per hour. Please try again later.\r\nclientRequestId: d56cc12d-bfd9-442b-9f2a-287abaa8cb38\r\nserviceRequestId: d56cc12d-bfd9-442b-9f2a-287abaa8cb38"

Do you know, is it possible to change this limitation, because I should grant access to more then 400 external users?

I am facing a similar issue wherein I have created custom access to SharePoint list items for which I have used the grant access, the flow looks like:

And for some items the grant access failed (8-12 items)

The list contains around 2600 records. So in the grant access I am granting the user and his manager the access (and if the Manager's RM is present then giving the view access which are the next set of actions after grant action), so I did add the 'Send HTTP request action: ensure' which looked like something like this:

As there are 2 items I have used ';' i.e. in between 'Email','ReportingManagerEmail'. So is the above action correct?.
The other thing that I wanted to ask what does the 'Send HTTP request action : Ensure' do ?

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
