Copy created item to another list and update

OK so first off FLOW is new to me. I have a googled much on this but cannot seem to find the answer. I am so used to Sharepoint workflows that some of this will be new so my apologies. 

 

I purchased an app and installed it on our Sharepoint Onle environment. This app creates items within it but the backend sits on a Sharepoint list. I cannot connect to it through Sharepoint designer to create my own workflow but FLOW can connect to the back end list for this app.

 

I can see the items in the back end list. What I am trying to accomplish is this. I want to:

 

  1. Upon the List entry item being created, I want FLOW to copy the entire item and copy it to another list. (The list columns in the other site collection where I want the item copied to are an exact match since I exported this from the originating site and imported to the site collection where I will be moving these items)
  2. I DO NOT need to coorelate back and forth between the lists. This is data moving from one original list to the new one and only adding items or updating them. There will never be a delete of an item
  3. One caveate to this is I only need to copy the files where one metadata column is = *****Value 
  4. Basically I have a column where I have one client that I need to export their assigned item based on their value to another site so they can work the items without seeing other clients based on that filter from the original list.

What would be the best way to create this type of flow?

 All that really needs to be done is this:

1) Use a "when an item is created" trigger

2) Have a condition evaluate if this is a list item that should be copied

3) Use a Create Item action to create the item in the new list with values fro the source list Scott

 

In my example below, I say that if the Choice Column equals Choice 3 then create an item in the destination list.

I guess my confusion is how when creating the item in the other list does it coorelate the columns? I was able to connect to the list where item was created. I was able to create condition to if column "Client" equals the text line name for the client I want to copy over.

 

Then I hit Action and created the connection to the list I want to create the item into from the original. How does the created item know to bring over the data from the column in one to the the new one?

 

Am I missing something?

Take a look at the scrren shot of my Flow.  I select the vales from the source list via Dynamic porperties when I am creating the entry in the destination list.

OK so I ran into some trouble. I have a column for assigned uers for a task. I tried adding it as one of the columns into the new list and it gave me this weird thing above the action:

 

When I select NMS Assigned Owner DisplayName

I get this weird thing at the top of the action:

Not sure what this means. All I want it to do is pull the assigned name from the old list and add that name to the new list. Maybe it is the list setting. One is a text field and one is a name with presend field. I cannot run in Sharepoint designer to workflow this field to text in another column and then copy it over and the column for assigned in the original lsit is a name with presend field and is not able to be modified since it is in the app.

 

So when I took this field out of the FLOW then flow ran just like you said and I do appreciate your help on that.

 

 

I will respond in detail later. 

 

Also, can you tell me if multiple selections can be made in the person or group column - that complicates matters somewhat.

Actually no. It's a assigned too column for task assignment. Just one person. I'll try using assigned email though.

OK so it keeps wanting to add this to the top when i try adding the Assigned user. I used EMAIL instead of display name

Please post screen shots of your entire Flow and I will assist.  I need some more info please.

 

Can you verify that you are using the when an item is created or updated trigger?

 

Here is an example where I have a person or group column which works as designed.

Unfortunately I cannot show the entire flow. Some of the data is PII.

But yes, I am using the trigger when and I item is created. When I dont add a filed to populate that data the flow works without any issues.

 

when I put it back in it wont run. I hate this list is in an app. I cannot connect to it to have SP Designer run a set field from that then make it a text field. Then this would not be an issue I think.

 

Maybe there is a way to reference a column and add the data without a workflow and then pull that data from there and send it over in a FLOW

Hi, I have kinda the same issue,

 

I have two lists.

I want to export items from list 1(if a value is equal too xxx) to list 2, but then if I update the item in list 1, i want it to be able to update it on list 2 too.

 

Currently, I do a flow using multiples conditions:

Like:

  • If value of column status equal xxx:
    • Yes: (NB: if No: nothing happen)
      • Then if value of role equal xxx:
      • Yes: (NB: if No, another verification to check whether the item needs to go to list 3)

(Begin of an apply to each items of list 2)

Then if value of item name equal one of the already existing name of list 2,

  •  Yes:
    • Then update this item
  • No:
    • Then check if value of item reference (custom number) equals one of the already existing of list 2
    • Yes:
      • Then update this item
    • No:
      • Nothing happen.

(End of the apply to each).

 

I would like to have a if these verifications (in the apply to each) are all negatives, then create the item.

But if I place the creation in the last No branch, it will create a new item for EACH (and i will end up with many many items in double or more).

 

Also, in terms of weird behavior, my flow would always fail if I did not implement by hand a first item in list 2, for the flow to be able to compare to something I guess.

 

I guessed a scope control could do the trick, but I can't achieve to get and use the output of said scope.

 

Any idea ? 🙂

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
