Create A Task After Item Is Created Or Modified (Due Date)

Hi,

 

I created a flow that when an item is created or modified from a Sharepoint List that it creates a task in our group. The flow works until I try to code in the due date from the list to be added as the due date. However, i get an error about the "apply to each".

 

DueDate is the name of column in the list

 

Any suggestions?

@martzj Because your trigger is returning a single item, the Apply to Each action isn't necessary. If the Assigned To column in your SharePoint list is a multi-person column, you need to parse the multi-person column first, before you Create the Planner Task.

What if there are multiple items that may have the same due date?

 

The Assigned To only has 1 person assigned to it

@martzj Can you clarify how you plan to trigger your flow? Your original screenshot indicates that you are triggering the flow when an item is created or modified. This trigger will return a single SP item.

 

If you'd like to trigger the flow in a different way to check a SP list and return specific items based on a due date (in your case) then you would need a different trigger and you will need to use the Get Items action.

What I am trying to do is this:

 

I have a SP List that contains key tasks that our team needs to complete throughout the year. the SP List has the following columns, Title, Task (Name of Task, Notes (Info about the task), Due Date (date task should be completed by and in the format of DateTime) and Assigned To (contains only the member of the team assigned the task).

 

I would like a flow to create a new task in the Planner app for the individual assigned that task. Since the Duedate is dynamic based off the date in the SP List, it's not available to select in Power Automate. I need to create an expression to pull the DueDate from the SP List.

 

Also, anytime something is modified in the SP List, update the original task assigned to the original assignee.

@martzj Can you explain what you mean by the Due Date being dynamic? Or do you mean it's a calculated column?

 

Also, how are you creating the tasks in Planner? I'm assuming this is an automation? Are you also logging the Planner Task ID in your SP List?

The DueDate of the task is a date listed in the SP List. When using this flow below, the option to select the DueDate is not available dynamically available when trying to add it in the "Due Date" advance parameters. so I have to write an expression to extract the DueDate from the SP List such as items('Apply_to_each_2')?['DueDate'].

@martzj The Apply to Each action isn't necessary though because your trigger is returning a single item. However, I noticed that in your initial screenshot—you were using the New Designer. The New Designer is still very buggy.

 

If you can't select your dynamic content as I have below. Can you try to create a brand new flow—and switch to the Classic Designer immediately before attempting to edit your flow?

 

Then (for testing purposes) add a Compose action to see if you are able to insert the Due Date dynamic content?

I created a new flow and immediately switched before building it. I get this below, I am assuming the "output" is the duedate from the SP List? When i click in the Due Date parameter of the "create a task" these are my only options.

For my 2nd part, how would I construct the flow to update the task when the item is modified in the SP List? For example, if we update the task name, I would like for that original task to be updated to reflect the new task name or any detailed modified from the SP List.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
