Create an item in SharePoint when a new element is added to a MailChimp list

I hope some one might be able to provide me with assistance. I have the following scenario.

 

1. A person is signing up for a newsletter on MailChip. We get the

  • First name
  • Last name  
  • e-mail
  • company

Beside that we know the name of the newsletter "iGlobe CRM"

 

2. We have a SharePoint Online App - iGlobe CRM Office 365. This app have a list for Contacts  name, "CRM Contact"

 

IMPORTANT INFO. in the CRM there is a check for e-mail. Meaning if the email exist it will not allow to create a new contact with the same email. This is do avoid duplicates.

 

I have two challenges

 

First

I want to create the following flow. When a new element is added to MailChimp (new subscriber)  a new contact should be created in iGlobe CRM (in the CRM Contact list). However. Before I create the new contact in iGlobe CRM I need to make a check to see if the contact already is in the CRM. To do that I can use the email address as a key. The flow will be like this;

 

When a new element is created in MailChimp make a lookup in the CRM Contact list to check if the e-mail (hence the contact) extist in the CRM. If YES simply send an email. If NO create the contact in the CRM and send an email.

 

Additional action must also be added but to start with I will be happy just to get this simple Flow to work.

 

I created a flow using

1. When an element is added to MailChimp

2. Create an element in SharePoint

******''This works**************

 

But I what to make a check before I create the contact in SharePoint, How to????

 

Second.

The newsletter field in SharePoint is a list lookup. This filed is not showing on the available fields/columns in Flow when creating a new element in a sharepoint list. I cannot see any on the lookup fields?? This means I cannot set the newsletter value. Btw this value should not replace the existing but append to the existing values.

Could you please share a bit more about your SharePoint list?

 

I have created a SharePoint list on my side and the data structure of it as below:24.JPG

 

 

For your first question, I have made a test on my side and please take a try with the following workaround:

  • Add a "When a Member has been added to a list" trigger.
  • Add a "Get items" action, specify Site Address and List Name set to "CRM Contact" (on my side, it is "20180207_case12").
  • Add a "Variables"-> Initialize variable action, Name set to EmailArray, Type set to Array and Value set to empty.
  • Add a "Apply to each", input parameter set to output of "Get items" action.
  • Within "Apply to each" action, add a "Append to array variable" action, Name choose EmailArray, Value set to Email dynamic content of "Get items" action. 
  • Under "Apply to each", add a Condition, left input box set to EmailArray variable, right input box set to Email Address dynamic content of the trigger.
  • Within "If/yes" branch of Condition, add a "Send an email" action to notify me that the user with same email address has existed.
  • Within "If/no" branch of Condition, add a "Create item" action, specify Site Address and List Name. Then add a "Send an email 2" action to notify me that a new contact is created in SharePoint list.

For your second question, could you please share a screenshot of your issue on your side? I have made a test on my side and the Lookup field is able to show up when creating a new element in my SharePoint list. Please check if you have created proper type column in your SharePoint list.

Thank you very much. I will try to set up my flow as you did. I am not sure if the issue regadring the list filed is because it as a SharePoint App. It should not, because it is based on Standard SharePoint.

Hi Kris @v-xida-msft Thank you for the flow. I made the exact same flow and it work successfully, almostSmiley Wink. Meaning it created a new contact in the CRM. However the flow did not stop, it just continue to run and I had to stop it??  

 

I have about 4000 contacts in the CRM, might it because it just continued to go through all the contacts??

 

The lookup filed I am still not able to see?

 

Perhaps a skype call ?
