Creating and placing subfolders once a folder is created

Hi Everyone,

Apologies in advance as I'm new to Power Automate and SharePoint. I am trying to create an automated flow where when someone creates a folder in a SP Document library, a single subfolder will be created and placed into that new folder. Is this possible? I have included my current solution.

What is occurring now is that the subfolder (named Shared Documents) is created and placed in the Document library instead of the newly created folder.

Any help is greatly appreciated, thanks!Subfolder Creation Help.JPG

Hi @EnergyEng

You could try adding the subfolder path after the Folder Path

Folder Path / Sub-Folder

Even if that is going to work it may end up in recurring loop because another new item is created (folder).

This is going to a bit tricky. You need to change the trigger from when an item is created to a scheduled trigger.

Not sure that can meet your requirement or not?

Hi @abm ,

Thanks for your response!

I guess I should have started with my plan. My idea is to have an automatic process where whenever someone creates a new folder in this Documents Library, a flow would go into that newly created folder and create subfolders according to a subfolder convention.

I think an alternative to creating the folders would be to simply copy the folder structure from somewhere else on SP and paste it into the main folder which triggers this flow.

The solution you provided did help (Folder Path / Sub-Folder)! But it is creating another folder called Shared Documents and placing the subfolder inside that which is external of the folder that is created. Instead, I need the subfolder to be inside the created folder and not in Shared Documents.

For example, what its giving me under the Documents Library is:

Shared Documents / Sub-Folder

Created Folder

Instead of what I need in my Documents library which is:

Created Folder / Sub-Folder

I tried using Full Path instead of Folder Path in Folder path, but the flow doesn't work with Full Path being used. Any ideas on how to fix this?

Thanks!

Hi @EnergyEng

From the screenshot you have a lists not document library? As I mentioned earlier you will ends up having an infinite loop of triggers because when flow creates the sub-folder that will trigger again, then again and so on.

Hi @abm,

Thanks for the response. Isn't the List name I placed in the screenshot (Documents) a Library? I have been watching tutorials and it seem liked that was the case, I apologize if it isn't.

Is there a way to stop the infinite loop within the flow? Or is my idea inherently impossible to complete with an automated or instant flow?

Thanks

Hi @EnergyEng

It is possible to create sub-folders.  If you using the current trigger then you may need to think about finding the depth of the folder (two levels) via some logic using the Folder Path value something like check using the folderpath contains the subfolder name then terminate the flow. That might work.

Hi @abm,

Thanks! Also do you have any ideas for the Folder Path problem I'm having? I still cannot direct the sub-folder into the newly created folder.

I am going to work on fixing the trigger as you said.

Thanks,

Hi @EnergyEng

This look quite a long for me to think. Tested it and it is working as expected. Following are the rules

1. My sub-folder is called Test123

2. If you create the main folder same as sub-folder this won't work.

Let me know how it goes.

Thanks

Hi @abm,

Thanks again for your help. I tried the solution you provided here and it seems that Title is still not being placed into the folder path. When I implemented it, the input Folder Path disregards the Title of the newly created folder and just stores the sub-folder in the main Documents library. When debugging, I get the first picture.

I tried to force the flow to initiate a string variable using the Title of the newly created folder. This solution is seen in the second picture (which now includes termination actions). However, now the flow doesn't even run with this solution.

I'm still trying to figure out how to the title of the newly created folder to work in the folder path of the sub-folder. Have any ideas?

Thanks,Folder Input Error.JPGSubfolder Creation Help 2.JPG

Taking a look at past results again, it appears that my if conditions are being cancelled and have a grey "x" on the top right instead of a green checkmark. They also show INPUTS and No inputs underneath. Now I'm really confused. If Conditions error.JPG

Could you post a screenshot of your Folder Check mapping? The earlier screenshot is too small picture to understand.

Thanks

Hi @EnergyEng

Above your sub-folder name is set as other. Hence it never going to satisfy the condition. (Not equal to other)

Hi @abm,

Thanks for your help. Unfortunately, I haven't had much time to work on this during the week, and possibly the next. I apologize for the delay and will get back to this thread when I work on it again.

Thanks,
