Filter value from a SharePoint Choice

I have a new requirement that will need to validate whether a specific value is contained in a drop-down (Choice) list in SharePoint. In our team's SharePoint, we have a list of impacted teams ("Impacts") and recently a series of new teams with the prefix "R2D2".I have been able to create conditions and such up to a certain point incorporated into my existing flow, but I now need to add that value (eg. "R2D2: Team1" to the body of an email. I have found a few solutions that allow me to pull the list of impacted values, however, none show how to pull just the value containing the "R2D2" prefix. 

 

Example:

  1. Flow is triggered when an item is modified. 
  2. The "Impact" column of the SharePoint item contains the following selected Choice: "R2D2: Team1", "ENG", "Tax", "Legal"
  3. Condition action checks to see if "Impact" contains "R2D2"
    1. If True - create an email and include this value "R2D2: Team1"
    2. If False - create an email without this value.

I tried to create a sample proof of concept from a solution I found, but I am unable to pull specifically "R2D2: Iridium" as the output inject into an email.

If your flow is being triggered when an item is modified you shouldn't require the Get Items action. 

 

You should be able to use the Get Item action which gets the item that was modified. Use a condition action to check if the Impact column contains the values you are looking for.

That is a proof of concept and not the actual automation I need this scenario to run in, and as stated I do have a condition check, I need to pull the specific value containing "R2D2" from the Impact values selected. 

I see. Your Filter Array action is not pulling any results due to the condition.

 

You need to change it to 'contains' instead of 'equals to'.

 

If you want to return the value you will need to use an expression to return the value from the Filter Array. 

 

 Try a split() function. And split the string at the colon and space. 

I've already tried every possible combination of contains/is equal to, etc. None of which seems to work. Where would I attempt to use the split() function and what am I splitting? 

 

At the end of the day, I want the entire value "R2D2: Iridium" to be used in the body of the email.

Okay, if you want the entire value that shouldn't be an issue.

 

The issue is your Filter Array is returning no results. So that needs to be troubleshooted first. What does your current flow look like if the screenshots you've uploaded are a proof of concept and not the actual automation? 

 

It would be helpful to see what the actual automation looks like to better troubleshoot the issues you are having.

That is the entire automation, I'm triggering a specific list item by typing in the project identifier, Get Items pulls the specific details from the Impact column of the SharePoint List.

Sorry I'm a bit confused as your original post indicated that the flow will be triggered when an item is modified. Is this still the case?

 

Are you looking to compose an email body based on a single item or multiple items?

Its the same SharePoint List item regardless of manually triggering or item modification.

 

On a single item, the one that is modified. 

If that is the case, the Apply to Each action shouldn't be required since you are only retrieving a single item.

You should be able to add a condition after the When an item is created or modified action that looks similar to this. If all you are looking for is RD2D, it shouldn't matter if the other options are selected. Unless I'm missing something. If that's the case—adjust your condition appropriately.

You need to ensure you are selecting the Impacts Value dynamic content and not just the Impacts dynamic content.

I do not think you understand the ask here. The ask is how do we PULL the value, "R2D2: Iridium" from the list as its own value to be inserted into an email, that is all. I have all the right conditions, etc., just unable to isolate that very value. An Apply To Each is automatically created by Power Automate when I select the Impact value, there is not other way to avoid this, trust me I hate using it and all other solutions I've found up to this point do the exact same thing. 

 

We have at least 2-3 dozen selectable items in the Impact column that can be selected. Just extract that specific value containing R2D2 as there are 6 different team names after the "R2D2: " prefix but only one can be selected.  My thought process was to use Filter array to pull out that value, but as you see from the screenshot, its blank '[]'

Give this a try. I'm just using a Compose action for testing purposes. Use it to confirm the value is returned, then you can insert the Compose action output into your email.

 

Add a Filter Array after a Get Item action.

  • From: Insert the Impacts dynamic content.
  • First Value: Insert the Impacts Value dynamic content.
  • Change the condition to contains.
  • Second Value: R2D2

Add a Condition action. Use the length() function to check if the Filter Array action has returned any results. 

 

length([insert Filter Array body output here])

 

  • YES Branch
    If the Filter Array output = 0, this means there are no results. Do nothing.
  • NO Branch
    If the Filter Array output is not equal to 0, this means there are results. Use a Compose action to compose the text, you can then use this in your email once you've confirmed the text is formatted properly. 

    Use an expression:

 

split(body('Filter_array')[0]['Value'],'R2D2: ')​

 

This expression should return the text after R2D2: Please note: My expression contains a space after the colon, if your value doesn't contain a space, then omit the space.

Also, you can avoid the Apply to Each action when returning a single value. Please check out this tutorial. You need to use an expression to do this.
