Flow from Forms to Excel

Hello all,

 

I am trying to create a flow from Forms to Excel to use as an employee sign in for trainings. 

So I have a spreadsheet with all employee names and employee numbers. Then I have form collecting their names and numbers  and the date when they attend a training.

 

I want flow to use info entered on form, the emplyee number, to locate the row, then update the row in column specified for training to something like "Present"

 

Any advice would be appreciated. I have small start, but it just fails each attempt because I dont know how to filter to the correct row accurately.

Hi there.  If you get a chance, maybe post what you have so far.  That usually goes pretty far in helping folks understand where the trouble might be.

 

I imagine if you've got your New Form Submission trigger, we want to get the form details next, the use the Update row.  The Employee ID sounds like it would make a good Key Column, and then you'd use the value from the form to find the correct row.

That looks perfect, great work!  Is it not working?  It may be cutoff in the image, but if you've already got the field in the table to mark attendance, you should just Update the value for that field to "Present" or whatever you'd like.

Yeah the image was cut off. I had it  When I ran it last time it did not work as set up. I will try again and see how goes.

 

I think perhaps is because I am searching for numbers but comparing to string? Could maybe be issue?

Ah, ok...so if the Flow processes and it acts like it couldn't find a match AND you know for sure there is a match, wrap the dynamic value for the form response in an INT() in the expressions box.  

 

Let me know if you need help with that, or if it makes sense.

I do understand, but it did not work again. I even tried setting to strings as well and modifying to string in Excel. Also failed.

 

I am really at a lose of why it is not working. Attaching how I have it again, if youve any further insight.

Can you post what the row looks like in Excel (include the header, if you can), and also what the form response looks like from the previous runs?

 

I attached a bunch lol, Sorry. I had to cover most of data as its my coworkers, so you can see my name....but the sprea\dsheet holds about 200 employees info as listed

No problem at all, totally understand about the data.  I think this will give me enough to try some things out.  I'll keep you posted.

Also, currently have Lawson numbers set to strings in my Excel spreadsheet.

Ok, I don't think the type thing will matter (String vs. Integer) at least in Excel.  I think there's something else going on because I recreated what you have and it worked right out of the gate.

Since I think the Flow is set right, let's look more closely at the data in your spreadsheet and Form.

 

When filling out the form, can you copy and paste the data from the spreadsheet to make sure we're testing with exactly the same value?

Also, maybe try doing a vlookup or even a ctrl-f (Find) on the spreadsheet and type in '6300' (no quotes) to make sure Excel is finding the value internally.

Finally, do one final check to make sure you've selected the right spreadsheet (just in case you have a version locally or something that is missing that value).

I think it has to be something simple like that.  We'll figure it out.

Trying that but now my flow is timing out and says Ive not triggered by filling out form.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
