How to sent email notification that based on the condition

Hello All,

I am currently working on a task to sent an email automatically when an important info missing from the share point.

I encounter a problem when doing this project which is the email created cannot detect the condition I setup. I created 3 different condition using an “or” setup and I want an email will be sent only when the condition triggered was equal to “null”, but it doesn’t.

So, when the columns in the condition are null, will email still send?

Could you please tell me the types of these three columns?

Unfortunately nope, when the condition are null, no email send.

I ran the test with the condition are null, but i didn't received any email with error "Action Branching Condition Not Satisfied"

Types of these 3 columns are string.

OK, what types of the three columns are?

Are they all String - single line of text?

If possible, you could share the screenshot about the output of Get item (please shield key information).

The three columns are in string function which indicate email, name and phone number. It can in single line text or multiple line.

Can you check and confirm the data types of the columns that you are checking for in the condition? 

 

I see that in the condition you have Has Attachments? in a place and for that you need to update the condition for checking with false instead of null. 

 

Also, I see that you are checking for different columns in the condition and then you have different column names in the email action. can you check and confirm this? 

 

And, you can get the output of an action only when that action is completed. Example, you can use Outputs('Condtion') in a next action to see what was the output of a condition.

I followed your advise by changing the condition for Has Attachment to "False" and it worked. It manage to trigger the email to be sent to the person in charge.

However, I’m having a problem where the email will be triggered even though the condition is not “null”.

The email will trigger all condition and sent the email even though the information needed is filled.

I want Flow to select between 3 condition, which one or two have an unfilled information and pull that specific blank details to ask back the sender to be filled.

 

For example, let say for condition 1 & condition 3 is equal to null/ false since there is no data in sharepoint, but for condition 2 there is a value for it, I want an email sent to person in charge by informing that there is no value for condition 1 & 3 only.

As you are using an OR condition, Even if one is true, it will trigger the send email action. And you cannot select or identify which condition was met or not met in this case. 

 

To identify each individual field that does not have value, you need to create separate conditions for each of them. One other thing you can do is, create a string variable at the top and then add three different condition statements. In each of them, you can append to string variable (add action to append to string variable) in the yes branch and add the field names manually and then use this string at the end to send an email.

I did tried your advice, ran the testing and email was sent out to the person in charge.

However, it seems that email did not send based on the condition that I created. 

Could you please advise what do you mean by "add the field names manually and then use this string at the end to send an email."

 

Also, I tried to put "Output" in email, however I get message pop up stated the expression is invalid.

Hi @Azlin 

 

You have done most part correct. Here is what you need to change: 

 

In each of the append to string actions, just manually type the name of the attribute. So for example, in the has attachments condition part, remove everything from the variable right now and simply type Attachments. And the other ones, similarly type the column names. Later on, in the email, just select the variable in the body and then add missing information after that. This will basically add only values that are missing and in the email include the respective text.

I did follow your advise, ran the test and received the email. However for Condition 2 & 3, i got error "ActionBranchingConditionNotSatisfied".😢 Only for Condition 1 is correct and i didn't get the mentioned error.

Hey @Azlin 

 

It is not an error. It means that the other attributes that you are checking for null are not actually null and there is some data in it. Can you check and confirm this? 

 

If does not work, you can use the contains operation instead of the equal to operator in the condition statement.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
