Hi,
I am working on setting up an email reminder flow for one of our clients. I have a list setup as shown below:
as you can see I have Expiration date(date, internal name:ExpirationDate) and days (free text) columns in the list and the flow wil be based on these two fields. I have setup a simple email reminder flow which sends emails out if the following conditions are met: 1.) if its 15 days prior to the expiration date and 2.) Days column contain 15 as value.
here is the condition I have used in the flow below:
@AND(equals(items('Apply_to_each')?['ExpirationDate'],
formatDateTime(addDays(utcNow(), 15), 'yyyy-MM-dd')),
contains(items('Apply_to_each')?['Days'], '15'))
The flow works fine and sends email out, I did this for my own testing before working in production. Below are the requirements I received today:
1. if the days column contain value as 30 then first email/notification should be sent out 120 days prior to the expiration date and second email/notification should be sent out 60 days prior to the expiration date.
2. if the days column contain value as 60 then first email/notification should be sent out 150 days prior to the expiration date and second email/notification should be sent out 90 days prior to the expiration date.
So considering these requirements, below is what I thought:
1. For the first scenario, I would setup two flows, first flow with condition: @AND(equals(items('Apply_to_each')?['ExpirationDate'],
formatDateTime(addDays(utcNow(), 120), 'yyyy-MM-dd')),
contains(items('Apply_to_each')?['Days'], '30'))
and Second flow with condition: @@AND(equals(items('Apply_to_each')?['ExpirationDate']
formatDateTime(addDays(utcNow(), 60), 'yyyy-MM-dd')),
contains(items('Apply_to_each')?['Days'], '30'))
So this way I will have two flows per scenario which would end up creating total of 4 flows. Is there a way to do this in one flow only by leveraging switch case or something? This way I don't have to setup 4 flows.
P.S: I actually have total of 5 scenarios so I will end up creating 10 flows so it would be ideal if I can just do evertyhing in 1 flow instead of spreading out in 10. Any help/suggestion is appreciated. If you have a better suggestion/solution, please share a screenshot of the flow if possible. Thanks in advance.
Hi @Anonymous,
Please consider adding a switch case in flow which will make it very easy to have parallel branches of conditional logic based on a single value.
From your description, it seems that you will add different conditions based on the value in column Days. If it is equal to 15, send out the reminder email 15 days prior to the expiration date. If it is equal to 30 days, send out the reminder email 120 days prior to the expiration date.
To send a second reminder email, please try to add a parallel branch within each switch case. Let’s say that you would like the second email to be sent out 60 days prior to the expiration, within the switch case, add a numb Compose action to return the Days first, then add a parallel branch by clicking the “+” icon. Then under each branch, input the corresponding code into each condition.
A screenshot for the flow could be likes below:
More details about switch case and parallel branches, please check the following doc:

Great suggestion Mabel, thanks. For some reson I am getting an error on composed, see below:
Hi @Anonymous,
What’s the column type of Days? Is it of type Text?
Please try with the following workaround.
Without adding a compose within each case, please add the second condition after the first condition, so that if the date doesn’t meet the first condition, it will move on to check if it meets the second condition.
By the way, column Days is set as type of Text, so I used int function to convert it to integer with the following code:
int(items('Apply_to_each')?['Days'])
A screenshot for your reference.
Best regards,
Mabel
