Pre-fill by ID

I have a SPO list with a couple of columns (ID, Status, etc...).

When I want to update list, I have to fill in everything from the beginning (can't choose what to update and just fill that field). (see picture 1)

 

My question is: is there any way that I can put the ID number in the "update project" flow and that it automatically rest of the fields from? see picture 2

Hi @Anonymous 

 

You are creating a manually triggered flow and requesting the user to input the Project Name. Right? 

 

If you are using the trigger when an item is selected, you can simply remove that Project_Name input from the flow as the flow will rn for that particular item that already has teh Project_Name field populated and you need to update the other fields only. (Makes sense?)

Hi @Anonymous there are a couple of different approaches depending on how you're triggering the Flow.

 

If you wanted to get the existing values your could use a Get Item, provide the ID and then use the dynamic content generated from that action, but like I said that will depend on your Flow. Can you please post a screenshot?

As @MattWeston365 has suggested that there could be a couple of ways to do this, Can you also share the scenario that you are trying to build? 

 

You could also take a look into the trigger: hhs.PNG

This will be useful if the user will be running the flow from the SharePoint List by selecting the item. If you can share the scenario, we might be able to better assist you.

Ok, I will try to share/describe scenario the best I can 🙂

 

1. I have a SPO list called "Project Tracking list" that will be filled through FLOW. (see picture 1)

2. During my projects, some of this columns will have to be changed/updated, for testing purposes, lets say I want to update "Status" field/column;

3. To "Update" column I want I will fire my "Update Project" FLOW;

4. When I start FLOW "Update Project" I have to fill in all the fields that are see shown in picture(see picture 2) starting with ID (ID number from SP list). Since there is only 1 Project currently on my list, he has ID - which I typed manually.

5. Question - is there a way that when I type in the "ID" number in the 1st field, that rest of the fields are filled in automatically, so in that way I can only update fields I need to?

6. Question - is there a way that when I fire "Update Project" FLOW that none of the fields are mandatory, I just update the field I want & hit "Run"?

So, 

 

1. Got it. So the users will come to this sharepoint list and then select a particular item and then select the flow to run to update the other fields? (If so, why not directly update the fields by clicking the edit on the item?) IN this case you can use the trigger thta i have mentioned in my previous post and include only those fields as inputs for which you need the user input (these have to be mandatory and i will comeback to this as to why.)

 

4. Note that: If you delete this item and create a new one, the ID will not be 1. Please check and confirm this to be sure of it. 

 

5. Nope. You cannot get the inputs of the flow to be auto populated (this is not supported yet). If you use the trigger that i have mentioned in my previous response, you will not need this part. 

 

6. You can create optional fields. But if there is null value in any input field, the flow will either fail or update a null value in the update item action. 

 

Tip: You could probably create a powerapp with this sharepoint list and then users can keep updating stuff in the edit form (only fields they need to or want to update).

Just a couple more questions, since I'm new in FLOW still a lot of confusion.

 

Where shoud I put this "trigger" (which step)?

This would be "get item" trigger?

Currently you have the manual button trigger in the flow. You will have to remove that and use the When an item is selected trigger in Flow. Then you will have to add the input actions as you added in the Manual trigger and then in the Update action, you will have to reference the newly created input actions on the newly created trigger for the respective fields.
