Send Email to Nominee Once

I have a Form that users can submit to nominate a staff member to a committee.  Multiple staff members might nominate the same person for the committee, but I want my Flow to only send an email to the nominee ONCE, not every time they are nominated.

 

How do I make my Flow check to see if that person has already been nominated, and if not, send them an email, but if they have already been nominated, don't send an email?  I tried making an array, but it seems like the array gets initialized every time the form gets submitted, wiping out the previous responses.  I'm so confused. 😞

Sorry I couldn't get back to you sooner, all you are really missing is "Filter Array". Please see below.

Here is my list, I added a SentEmail Column and set to yes, but no need for that although it could be useful later ;), hence the addition.Capture-155.png

Hi @collicn 

Do you have access to SharePoint perhaps?

I am thinking you could save your form submissions to a SharePoint List and then run a query on the list to send the email if the "Nominee" field represents a unique item?

Ok I figured out how to send the email address to a Sharepoint list every time the nomination form gets submitted, but I don't understand how to query the list to see if the email address just submitted to the form is unique or not.

Hi @collicn 

Have a look at the SharePoint connector. One is "Get Items".

Once you have the items from the list back in the Flow you will be able to match your for submissions to the data in the list currently, if it is a duplicate of a previos entry, use a condition to say if unique, send email, if not unique, do nothin.

I've tried a couple of different things, but now I'm hung up on trying to compare the email address submitted to the form, to the email addresses written to Sharepoint. 

 

It seems that "contains" in the flow condition doesn't mean what I thought it meant.  The flow compares the submitted email address against every email address contained in Sharepoint, and each time the condition is false, it sends an additional email, which I definitely don't want.  

 

It seems like such a simple thing, I must be doing something incredibly dumb.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
