Sending email to user with multiple rows in Excel file in one email

Hi all,

 

Good day to you.

 

Currently, I'm building a flow for my finance team to remind user when their payment is missing information base on Finance excel file and I followed this link: https://powerusers.microsoft.com/t5/Building-Flows/Sending-Scheduled-Emails-with-Excel-Rows-Included... to build the flow.

Here is my excel file looks like:

Scenario: When Finance team checked that one PO No is missing some information, they will take note and type Remark in "Follow up" column. Then they will type user email in column "BU" to automatic send email to remind and also CC the PIC person. The below pics is the flow which I already built

Even though, my flow was run successful but email will send in multiple times with increase row as pics below.

So please help me to fix this flow to send only 1 email with multiple rows to user.

You don't seem to configure Flow according to the method I provided. The union() function does not seem to be configured in the expected position. https://powerusers.microsoft.com/t5/Building-Flows/Sending-Scheduled-Emails-with-Excel-Rows-Included/m-p/593729#

 

First, append all emails to an array variable. Use the union() function to remove duplicate emails.

 

Then traverse the emails array without duplicates, and then filter out rows with the same email in the table.

 

Append to a new array variable, add the value of the field to be displayed in the variable. Then create the html table.

 

After each email is sent, the table variable needs to be cleared so that a new html table can be created when traversing the next email.

Hi @Anonymous ,

 

You seem to be missing the last step, you need to clear the array variable used to store the table content. In this way, the elements of the array variable will not be accumulated.

Thank you so much for your reply. I just rebuilt the flow with my data example and flow below.

The flow run well and can send email to email in column "Person" when I set Yes in my excel file. So now how can I set the flow to send the Person column with PIC column at same row? I tried many way but could not success 😞 hope you can help me.

I had the same result by following the same solution shared by @v-bacao-msft . I am receiving increasing number of rows that has my email. Could you share your solution on how you were able to send only one email for a grouped of rows for the same email recipient?

I followed you instruction below

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
