Sending reminder email from sharepoint

Hello community members,

I am working towards creating my first flow and here is the scenario:

• I have a SharePoint list with multiple date columns for a given record.
• Date 1 reminder email will go to person 1, Date 2 reminder will go to person 2, Date 3 reminder will go to person 3, and Date 4 reminder will go to Person 1, 2, and 3
• Each reminder needs to contain certain fields from the record (of the list)

I have very limited knowledge about Flows hence tried looking for templates but couldn't find any.

Any help will be highly appreciated.

You'll want to use a recurrence trigger that fires daily.

After the trigger, use a SharePoint Get Items action with an OData filter so that only the items that meet your requirements will be returned.

You'll actually want a series of Get items actions - one for each date compare that you'll want to do.

After each Get items action, you'll want to use a Send Email action to send the emails.  You can refer to the list item in the email body and include any columns that you want.

One caveat - you can't use OData filters with calculated columns.  So, if your date columsn are calculated columns, you'll need to do the calculation inside of your Flow.

As I said this is my first flow and today is my first day, hence I couldn't decipher your suggestions. 😔

Here is my scenario:

This is the list in the SharePoint:

All the fields in the list are updated through PowerApp (hence no calculated columns in the SharePoint).

As you can see that there are three dates (Feedback Arpit, Feedback - Peri and Feedback - Alok) and last Handwritten Note. First three dates reminder needs to go to the respective person and the last one needs to go to all.

I tried my luck in creating a reminder flow using options available in the list:

I was hoping to figure out to update the email address in the flow, but so far no success. 

Any suggestions?

There is a much more simple way of approaching your requirement.

See my example below that sends emails where the DueDate of an item is today.  I could have used a date expression such as addDays() in my expression as well.

Please refer to the link in my previous post for more details on using the OData filter.

I believe I have to learn a lot before I start making sense of the solution offered. Any suggestion where do I begin?

I have looked for resources available on the internet, but couldn't find anything helpful.

Start by creating a Flow exactly like my example on your list.

Note that you need to use a columns internal name in your OData filter - that is not the same as the columns display name.  To find the internal name, go to the list settings and click on the column.  The internal name will be at the end ot the URL after field=

Give ite a try.  Post any issues you may have here including any error messages.
