Sharepoint Create Item from Form

Good afternoon!

 

I have created a flow that reads items from a Form and needs to populate a SP list. the flow runs without error but I can't seem to get all the information from the form mapped to the correct column as they do not show in the Create Item options at all.

The form has the following information and is submitted by internal users only.

  • Choice options
  • Priority
  • Text description
  • Email address

Create Item only lists these items. Below shows only 9 items. Two at least do not show in my list at all. I need to be able to map the email address to the Logged by column.

The list does pick up "Created by" if I complete the form from a web browser where I'm signed in. but I can not get the email address pulled from the form to populate the "Logged by" column. If the email address can be converted to a user name from Azure, would be first prize.

 

I've seen a number of post relating to missing columns by no matter what I do I only get the same 9 default columns.

 

Any pointers?

I am not completely following what you need, but I think you want the e-mail address of the person who submits a forms response so you can populate a people field in a SharePoint list. To do that, you need to be sure that you set the form so only people in your tenant can fill out the form and check the box Record name. Once you do that, the e-mail address will be returned in the Get response details action as Responder's Email. To populate the people fields, set the field to Enter custom value and populate it with the Responder's Email.

 

I think then you're also saying that there are some questions in your MS Form but there are no fields to store these values in your SharePoint list? If that is indeed the case, then you just need to add corresponding fields to store the data in your SharePoint list.

 

If you are trying to populate the Created by column in your SharePoint list, that is not possible as it is a system column which is why you do not see it as a column you can fill in with the Create item action. Other columns that you cannot alter are Created, Modified and Modified by. If you really want to populate these columns, quite some time ago I read a post in the forums where someone figured out how to do this through an HTTP patch request by changing the permissions on these columns, updating the data and then changing the permissions back to the original settings.

Thanks for the feedback.  The form is set to allow only users in the tenant.

I have all the fields in the List but they do not show in the Get Items Advanced Parameters section.

If I complete the form the ticket is created on the SP list but it does not show who it was logged by.

The columns all map as they should from the MS Form but I don't have the option to map the "Logged by" field using the Responder's email address as there is no option for it in the Get Items part of the flow.

Found this article that states that Flow/Power Automate does not support certain content types:

Solved: Create Item - Sharepoint list fields missing - Power Platform Community (microsoft.com)

"In Flow, only 13 of them are shown. Column types like Person or Group, Choice, Lookup, Hyperlink and Picture, etc. are not supported and weren’t shown."

If I add a column with plain text, and add an Email field in my form, then it will show up in the Get Items as a valid entry, but you can obviously enter any email address.

The logged by is a people field you added to the list, and you want to populate it with the e-mail address of the person who submitted the form? If so, click on the drop-down for the Issue Logged By Claims and choose Custom Value. Then choose the dynamic content picker and populate it with the responder's e-mail address.

Are the columns in the SharePoint list set to visible?

I can see all the columns in SP. The List of columns that I can use in the Get-Items section have items in that are not in my list as well. Any new columns I create in the list do show up in the Get-Items section. In the screenshot below I added the Logged by column as a test, since the "Issue Logged By" column did not show up.

Your solution worked but I don't understand why.  I do not have a column in my list labelled (Logged by claims), but if I add the "responders email" to it, it appears in the "Logged by"

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
