Sharepoint Tasks with multiple people assigned

Hello,

 

I'm trying to move a completed tasks in a SharePoint task list to the bottom of the page automatically. Update Item doesn't seem to work so I'm creating a new task, carrying over the data from the first, then deleting the initial task. The only thing I can't get to carry over is to whom the task is assigned. I got as far as using a variable to recreate the array structure for the Assigned To Claim which should work but the end result is a blank Assigned To field in the task list.

 

When I view the results of the flow I can see that my variable did provide the correct array structure in the Assigned To field under Inputs for the Create Item block:

but under the outputs all this info is dropped:

and the task list shows no one is assigned to the new task.

 

However, if I copy what is in the Assigned to box from the Input side (first picture, and what my variable provides) and paste it directly in the Create Item > Assigned To box it creates the task with all 3 people assigned.

 

Has anyone had success moving a task in SharePoint or creating one with multiple people assigned?

Here for sample I am getting an item from tasks list and then adding the item Assigned To claims value to the array variable. You can use this approach or instead of using the array variable for storing the claims and then finding the ID, you can directly pass the claims to find the users id.

I tried to create the task using sample values and using SharePoint REST API and its created. Please refer the steps below.

1. Declared an array variable using the claims value

  {
    "Claims": "i:0#.f|membership|<user id>"
  },
  {
    "Claims": "i:0#.f|membership|<user id>"
  }
]

2. To update the 'AssignedTo' field which is a multiple person type, via REST API, the user Ids has to be passed. So to find the User Id, run the above values in Apply to each and use the SharePoint REST API to find the users id. Nothing required for the body value in the REST API action.

3. The output of the REST API to find the Ids are stored in a separate array only with the Id's of the users.

4. Create the REST API action and fill in the properties as shown in the diagram below.

 5. For the AssignedTo field pass in the Id array variable. Please note the field name has to be appended with Id (AssignedToId) while passing in the REST API for the multi person values or lookup values.

 

Try it out and I am sure it will work. Please let me know if you face any issues.

Thank you for taking the time to find a solution that worked for you. Unfortunately I'm getting an error on the Send an HTTP request to SharePoint 2 get block:

I'm wondering if my Assignees array isn't structured correctly. I basically initialized the array, then Apply to each an Append to array variable with a value of Assigned To Claims.

If that doesn't sound right to you and you also think my array may not be set up properly, do you mind showing me how you set up the array?

Hi @sudharsan1985 ,

Thank you again for all of your help! My original mistake was trying to build the claims array using strings and including the [ ] and commas. The solution for me was simply building the array as shown in your image and passing the array into the AssignedTo block of the Create Item I already built.

Is this the only solution when I need to update an field where there is multichoice required fields? What if i have 10 of those fields???? I need to do for each field this??? this is horrible....

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
