Split Document name and update month & date into SharePoint Library

Hi Team,

 

Want to create automated flow .

 

I have 2 document whose names  are  Document_ABC_20240624 and DocumentABC_06242024. i want to extract & update the month for two different date formats and store them in SharePoint Library column=Month column.

 

Status column has choices: Urgent & Normal

 

Also, if Document_ABC_20240624 is uploaded, then status should be urgent & DocumentABC_06242024 then status should be normal.

 

Please help me to achieve the same as I am stuck

In your examples, you want to extract 06 from the two different filenames? If so, I can give you expressions to extract the value, but I am not sure how you will determine which one to use for the filename.

 

When the month is at the beginning of the date value DocumentABC_06242024, use this expression:

substring(last(split(triggerBody()['text'],'_')), 0, 2)

When the month is in the middle of the date value Document_ABC_20240624, use this expression:

substring(last(split(triggerBody()['text'],'_')), 4, 2)

In both expressions, replace triggerBody()['text'] with your filename value.

 

Both expressions assume two things:

  1. The date value is always at the end of the filename.
  2. The content before the date value is always preceded with an underscore. It doesn't matter how many underscores are in the filename, just as long the date value is preceded by one.

 

I have no idea what you mean by: Also, if Document_ABC_20240624 is uploaded, then status should be urgent & DocumentABC_06242024 then status should be normal.

 

You may want to rephrase that and maybe someone else will have a suggestion.

In my SharePoint Library, I have 4 columns,

Name- Displays name of the document uploaded

 

Status- reflects choices Urgent or Normal

 

Month- Reflect month present in document name format

 

Date- date present in document name format

 

for example: Case1 If I upload Document_ABC_20240624, then below column should look like

 

Name : Document_ABC_20240624

Status: Urgent

Month: 06/2024

Date: 06/24/2024

 

Case2 If I upload DocumentABC_06242024, then below column should look like

 

Name : DocumentABC_06242024

Status: Normal

Month: 06/2024

Date: 06/24/2024

 

Whether  a document will be Urgent or Normal is should be based on a Document name format where one will have Urgent one have Word1_Word2_date and Normal one have format as Word1Word2_date.

For the month, you can use a concat expression combined with what I posted earlier to achieve what you want. The expression below would be for your Case2.

concat(substring(last(split(triggerBody()['text'],'_')), 0, 2), '/', substring(last(split(triggerBody()['text'],'_')), 4, 4))

You could probably use this expression for the priority. It just counts how many splits there were on the underscore character. If it splits the value into two parts, it would be Normal. Otherwise, it will return Urgent:

if(equals(length(split(triggerBody()['text'],'_')),2),'Normal','Urgent')

You could adapt the above to do the same with the month by replacing Normal and Urgent with the appropriate conact expression.

In Dynamic content dropdown, I found only-> Filename with extension & Name. There is no file name.

Which one to use?

If the action in your flow does not return the file name without the extension, you can add the action Get file properties and it will return a value with just the file name:

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
