Subtract days of leave after approval

Good day,

May you please help with my approval flow. I need to subtract number of leave days when employee is approved for leave.

I have build a flow for approval when after its approved it creates items to a specific list and it works fine, now I need the leave master list to update new number of days after an approval.

Hi @pat104,

You can use a Get Items with a Filter Query to find the matching employee item in the Master list.

With an update item you could update that Number of Leave days column and use a subtract function for this in an expression.

Below is an example

1. The Filter Query in the Get Items matches the responders' email value against a field called Employee (person or group type). Specifically the EMail property of it. Yes, it needs to be written with a capital M.

Employee/EMail eq '@{outputs('Get_response_details')?['body/responder']}'

2. Expression used for in this case a field called NumberOfLeaveDays. The number of days entered in the Microsoft Forms question is substracted from the current balance.

sub(items('Apply_to_each')?['NumberOfLeaveDays'], int(outputs('Get_response_details')?['body/r98b93d00dd4247f19a4e7b8d44e8e642']))

Hi @pat104,

Did you change the question id (r98b93d00dd4247f19a4e7b8d44e8e642) in the expression to your specific question id? Each question in a Microsofts Forms form would have a unique question id. If you used mine it would not be able to find the answer.

Out of interest, what type of question did you use in your Microsoft Forms form for the leave days? In my example I used a Text. That's why I need to convert the text to a number first with an int function.

Thank you for this. I have four different leave types on my form as choices where a user would have to select the type of leave they are taking, same as on my master list I have this columns as numbers e.g sick leave, annual leave e.t.c.
