Turn on Out Of Office option on Outlook with a flow

Hello , I would like to create a flow where the user can set his Outlook account as Out Of Office through a flow when an employee is on vacation leave.
The Flow needs to be automatically triggered from our calendar the day his vacations are starting until the date he will return.
The calendar is taking info from another flow which is working perfectly so far.
I am open for any other way for this to work if it's not possible.Are there any suggestions or examples?

Hi @Anonymous , there is no direct way to to do this but it is possible with the following steps:

1. Create a scheduled flow to run daily and get the events of your calendar.
2. Using an 'Apply to each' check the events to find events where the start date matches today.
3. For each matched event, use a 'Create Event (V4)' and set the event for the duration of the holiday in the default Calendar. Include the relevant user in the 'Required attendees' field and set the 'Show as' field to 'OOF'.

This will work for the target user, but it will also create the event in the default calendar of the flow creator. To work around this, you either use a service account to create the flow or use a shared calendar to create the event.

Is there a way on how you can distinct the Vacation Leave events from the other types?

It would be possible with the When an upcoming event is starting soon (V3) and setup automatic replies (V2).

However, I would recommend adding a trigger condition to the first action. So out of office replies is not set for every calendar item. You could look at the subject and say it has to be Vacation Leave.

Hello again and thank you for your quick replies.
I created some similar to the suggested flows, the auto replies seems to be working but it looks like the user still appears on office on Outlook and Teams.I would like to create a flow that not only handles the autoreplies but making the user appear as "Out of Office" to the rest of the users.

Hi @Anonymous,

That automatic reply should also work for Teams. However, sometimes there is a bit of a delay between setting the OoO reply in Outlook and seeing it in Microsoft Teams.

when I test this flow, it will retuens "Access Denied"
