What Trigger Should be Used

I have the need to create a flow that moves data from one Excel workbook to another.

Workbook1 comes in an email. The administrator manually moves Workbook1 to a folder.

Once this action is completed, I want my flow to trigger and move selected data from Workbook1 to Workbook2.

What would be the best trigger to use for this flow?

It is possible to get the workbook directly from the email attachment. But you would need to know if the subject of the email was consistent or who it came from. Or even if the attachment name is the same.

 

If the attachment is coming from a automated report or something it would be very easy. If the attachment comes from a user and may not be consistent with the subject or file name then this method would be more difficult.

 

*Also this would need to be built on the Administrator's account to link with their Outlook 365

I am aware and understand your clarification. The owner has chosen this manual route and my flow build needs to support that decision.

Is there a trigger that works best for the manual upload/overwrite of Workbook1 by the owner on the owner's side?

Yes. "When a file is created" like I showed above.

Your flow is looking for a new email to trigger its start.

My flow will not be looking for an email but activity in a OneDrive or SharePoint folder.

How does this impact your flow example?

Do I change the trigger to 'When a New Item is Created' and then 'List rows present in a table', or some such?

There are 2 posts from me. One that uses "When a file is created" and a secondary that uses "When an email is received"

Can you clarify the difference/benefit to using the 'When a file is created (properties only) vs. 'List rows present in a table'?

"When a file is created" is based on an entire file being created/added to a folder. It doesn't matter what type of file (Word, Excel, PowerPoint, Photo), just any object put into a folder.

 

"List rows present in a table" will go into an excel file and get the data that is listed in a table so that you can use the individual rows of data elsewhere in your flow.

 

They are completely different actions.

My version of the Excel workbook (Workbook2), or SharePoint list, has four columns the source data (Workbook1) does not have. 

I am basically appending new data from Power Apps to the source data from Workbook1 once it hits Workbook2.

Any existing appended data needs to remain associated with the 'EmployeeID' (unique value) every time a new Workbook1 is added.

All items from Workbook1 should move to Workbook2/SharePoint list when flow is triggered.

If previous data has been appended to the source data now in Workbook2, that data should remain and remain associated with the 'EmployeeID'.

If 'EmployeeID' is not in source data (Workbook1) but was on the last update to Workbook2/SharePoint list it should be removed from Workbook2/SharePoint list.

I apologize for the rabbit hole I've caused you to fall into.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
