change list element "creator" (owner)

outside a flow, i use the sharepoint list setting that a user only can see and edit their own entries. 

 

Is there a way to change the owner/creator of an entry if someone from a helpdesk or support creates the entry "in the name" of the user? at the moment the entry will be created in the name of the support-member, which creates it. And this leads to the real user cant see the entry ... are there any ideas for a possible solution? or is the sharepoint-list setting "not to be tricked"?

 yes this can be done by using the send an http request to SharePoint action. In my company we add a JSON-formatted button to the site pages library or to the list. The following example was for a blog I did on this last week for my company where I'd been asked how to change the owner of a page so the new owner receives comments, likes etc, not the person (usually me) who created the page. But the principle is the same for a list created by column.

Fire up Power Automate and create an instant cloud flow from blank and from the toggle at the top right of the flow switch to the classic designer. Among other problems with the new designer it doesn't have the trigger we want so we have to use the classic designer (which many of us prefer anyway!).

 

As we're doing this for a site page the trigger is the SharePoint For a selected file. For a list it would be for a selected item. Select your site and for the Library use a custom value of Site Pages Add a text input and for the left field I've typed Page Contact Email and for the right field with the hint text I've typed Enter email address before @

Next, add the Send an HTTP request to SharePoint action and select your site. Then add the following:
 

  • Method: Post
  • Uri: _api/web/lists/getByTitle('Site Pages')/items(ID)/validateUpdateListItem
  • Headers: leave empty
  • Body:

    Give your flow a name and save it and make a note of the flow ID from the address bar as you'll need it for the button that triggers the flow:

    In your Site Page library create a new single line of text column and go to format this column.

    Format the column in advanced mode and paste in the following to create the button, changing the id to the one you copied from the flow. You can change the button text (txtContent), and in the actionParams line you can change the header text (I'm just using the page title) and the text on the Run Flow button:

    When the button is clicked a panel will open on the right of the screen. The first time you run it it will just want the confirmation of the SharePoint connection. You enter the first part of the email address of the new author omitting the @xxx.com part, so in this example it's philip.ladd, and then you click the Go button.

    The flow will run and after a few seconds the Site Pages library will refresh with the new name in the created by column.

It works perfect 🙂 thanks a lot. I integrated the flow in my PowerApp solution and now we are able to create entries for the users and also "in the name" of the users 🙂 very nice ...

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
