how to use the data from get items where its filtered to have only 1 record

Hi All,

Im rather new to Power Automate but ive hit a wall.

Mcerv56_0-1702399195547.png

I have an Submission ID column that is flow generated to be 352-2023-000. The 352-2023-000 is the placeholder as the User does not enter this initially when the item is created. The highlighted item is the one that I have filtered to get from Get_Items action

Mcerv56_1-1702399271099.png

I have gotten it to only give me the highlight part.

However,

Im at a loss to know how to actually use the data  after it is got and ive been looking on google but it doesnt really give me what i want to do. So essentially this is what i want to be able to do with this data:

1. Make it its own variable or item that I can separate it from being associated with an array (Since Get Items will always be in an array even if its 1 record from what I've researched)

2. After being its own item, I want to be able to update the recent item from 352-2023-000 place holder to 352-2023-006

** Note: I want it to see the 005 and increment it by 1. This is what i want it do every time when a new list item is created. to increment by 1

Thank you for any hints or info! if you have any questions about what im trying to do let me know! Thanks in advance!

Hi , @Mcerv56

You can use this code to add one to your max of the submission ID:

concat(split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[0] , '-' ,split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[1],'-',
formatNumber(
add(int(split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[2]),1)
,'000'))

The "outputs('Get_items')?['body/value']?[0]?['SubmissionID'] "   is the max of the  submission ID, like "352-2023-005".

For example , this code ;

concat(split( '352-2023-005' ,'-')[0] , '-' ,split( '352-2023-005' ,'-')[1],'-',
formatNumber(
add(int(split( '352-2023-005' ,'-')[2]),1)
,'000'))

This is the result for this code:

HI , @Mcerv56

According to your description, here is my understand for your question.

(1) You get just one item in your Get Items , if you do not want to use this array , you can use the Expression like this:

outputs('Get_items')?['body/value']?[0]

Then you can can the object in your Array , and for example if you want to get the field value in this Object , you can use this code :

outputs('Get_items')?['body/value']?[0]?['SubmissionID']

vyueyunmsft_0-1702432940738.png

(2)If you want to update all the  "352-2023-000" to the "352-2023-005+1"= "352-2023-006", You can first convert the "352-2023-005" to "352-2023-006":

concat(split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[0] , '-' ,split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[1],'-',
formatNumber(
add(int(split( outputs('Get_items')?['body/value']?[0]?['SubmissionID'] ,'-')[2]),1)
,'000'))

We can use this code to get the "352-2023-006":

vyueyunmsft_1-1702434132243.png

Then if you need to update the items "352-2023-000", you can use this actions:

Hi! Thanks The first part really helped! although it might be my fault for the misunderstanding on the second part.

Currently i am on 352-2023-005 on the item list, however i want it to be increment by 1 for every list item that is made. So if its 352-2023-005 now then it will be 352-2023-006 with the next item created then 352-2023-007 with the next item so on and so forth.

this.PNG

should do like the imagine above is doing. Incrementing them by 1 as the item gets created.

This is what my flow is currently.

flow.png

Ive edited your compose to grab the ID of the previous item as well

compose.PNG

So now that it has been grabbed, How would it be the best way to increment it? from

352-2023-005 to 352-2023-006 then 352-2023-007 and so on when a new item is created on the list ? Thank you for your help so far!  im ever so closer!!!

Hi, @Mcerv56

Thanks for your quick response! Do you mean you want to update the Submission ID when a new item is created in SharePoint List, and its value is the max of the Submission ID +1 at that time.

If this , you need to use the "When an item is created" trigger.

vyueyunmsft_0-1702521082818.png

Then you need to get the max of the Submission ID. For Example "352-2023-005".

And then use this code to add 1, i have replied it in my first reply:

vyueyunmsft_1-1702521147422.png

And here the "Get_Items" action just return one record/row here.

So we can update this new created item to the Submission ID which we want to be.

Best Regards,

Yueyun Zhang

Hi! Thanks for the reply!

ive been trying to get the max but the Submission ID is Custom as ive mentioned before in my first post. This means that this number is not really a number but a string because of the '-' in the Submission ID. I concat the items together to create the custom ID. Is there a way to update this if its a String?

For example , this code ;

concat(split( '352-2023-005' ,'-')[0] , '-' ,split( '352-2023-005' ,'-')[1],'-',
formatNumber(
add(int(split( '352-2023-005' ,'-')[2]),1)
,'000'))

This is the result for this code:
