Autofill Quick Create Form Field with data from parent form. (Model Driven app)

Question

I have a subgrid in a parent form configured to show related records. When I click New Record in subgrid control to launch Quick Create Form, is there a way to populate a field in Quick Create form with a data from a field in the parent form?

 

Background Info

I'm building a Maintenance Tracking app. I have a Maintenance Record form to let tech input maintenance information (work performed, date, tech etc.). Added a section to add parts used during maintenance onto the form using a related items subgrid as described in the Create an order gallery in a canvas app - Power Apps example (There is a Model Driven app example in Nothwinds sample). The Maintenance Record form auto-generates a Maintenance ID (primary key) 

 

Using App

To add a part, you click on New Parts button in subgrid in parent form to bring Quick Create form. Currently I manually paste Maintenance ID from parent form into the primary key (Maintenance ID) of Quick Create form then select my part number and quantity. I hit save and close record and all works as expected. The parts used during a maintenance task are associated with the correct maintenance record.  I want to automatically (automagically?) fill the Maintenance ID field in Quick Edit form with the same data form parent form.  Any idea how to do this?

I'm sorry to respond on a old thread. However, i'm looking for exact the same functionality. 
Did you ever found a solution for this, or a workarround?

I did eventually solve this problem. I stumbled across the solution and started working. Several months later, I needed to have the same functionality and could not remember how I solved it the first time. But...I eventually figured it out and documented how I achieved it.  Solution is below.  Hope this helps.

 

Scenario

You have a table that contains vehicles. You want to create a second table that holds the maintenance records for the vehicles. From the Vehicle Main form you want to create maintenance records in the Vehicle Maintenance table. Once you master the basics of this configuration you can use it for many scenarios. The first time I used it was to add parts used for a specific equipment maintenance record.

 

Procedure

Create Tables

First create your Vehicle table. You will add columns like make, model, Purchase date etc. Power Apps will suggest using Name as your primary key column. Accept that and put the vehicle name there. I renamed the Name column to Vehicle Name.

 

Second create your Vehicle Maintenance table. Putin columns like Maintenance date, odometer, work performed and include one for work order that is data type "file" so you can attach the work order from dealer.  Accept Name as the primary column. After table is create, change data type to auto number> Custom. For format, us the following: VM=YYYY-MM-DD-nn which translates to VM for vehicle maintenance, that date, two digit number suffix that will increment with each new record on the same day. VM-2023-02-16-00.

 

Define Relationships

Vehicle Table

Create a relationship in the Vehicle table as follows:

Vehicle --> Vehicle Maintenance / One to Many

Notice the lookup column display name is Vehicle. The relationship will automatically creates lookup column in the Vehicle Maintenance table.

 

While in Relationship screen select Advanced and make sure type of behavior is Parental

Confirm the Vehicle Maintenance table has a relationship configured as follows:

Notice the lookup column name is Vehicle. This column was automatically created in the Vehicle table with data type unique identifier.

 

Create Views and Forms

Create you standard views and forms for each table.  For the Vehicle Maintenance table, created a Quick Create form to enter maintenance records.

 

Open the Main form in your vehicle table and add a subgrid. Check the box to show related records and select the Vehicle Maintenance tables.

 

Testing

Add some vehicle data and save record.  In the subgrid, click on New Vehicle Maintenance. You should see the Quick Create form you created earlier. Fill out the details and click Save & Close.

You should now see the vehicle maintenance record displayed in the subgrid.

 

Perform the same test on another vehicle record.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
