Change Drobbox field value when in edit mode, use default in new mode - Powerapps, Dataverse for Teams

Hi,

 

I have a field that default populates the user email in the form new mode but when I select a record from a gallery, the field changes to the value of the selected record. This has been achieved using the below formulae in the Value property.

 

If(FormBasicInfo.Mode=FormMode.New, User().Email, ThisItem.RaisedbyEmail)

 

 

I want to do the exact same for a drop box field in the same form

At present, I have the following:

Items: Choices(DRF_Status)  

DefaultSelectedItems ["Draft"]

There is no value property therefore it must have to be entered somewhere else.

 

I have experimented with the above formulae in different property fields for the drop-down with no luck. and my search in this forum and on youtube I find similar yet slightly different requirements and I have failed to translate their solutions to meet my objective.

 

Any assistance would be much appreciated,

In My original form - Gallery1.Selected

 

In the new form - If(BrowseGallery1.DisplayMode = DisplayMode.Disabled, selectedRecord, BrowseGallery1.Selected)

@CrazyCol - use Gallery1.Selected. There is rarely ever a need to set a condition on the Items property of a Form.

 

I am assuming you have tried Gallery1.Selected, and the dropdown value does not display the appropriate value from the selected item?

If I am repeating what is already known then I apologise in advance, however, I want to be sure we are on the same page in terms of what I am trying to achieve:

Gallery1

  • OnSelect Select(Parent)
  • Items DraftingRequestForms

Form1

  • Item Gallery1.Selected
  • Datasource  DraftingRequestForms

DRFStatus

  • DefaultSelectedItems ["Draft"]
  • Choices(DRF_Status)

 

To your question

  • With Gallery1.Selected The drop-down works
  • with DefaultSelectedItems left blank, the field is blank, and the drop-down works.
  • with DefaultSelectedItems set to ["Draft"] the drop-down still works and the default value is (Draft)
  • For all new form entries, I want the default value (Draft), this is working.
  • For edit/ view records, I want the field to show what value is for that specific record i.e. Approved, Rejected etc. However, with DefaultSelectedItems set to ["Draft"], it only shows (Draft). However, the drop box still works and allows me to change the record if I choose. 
  • With DefaultSelectedItems left blank, for edit/ view record, it shows the value for that specific record.

Somehow, I need to tell the drop-down field, if NewForm show the default value (Draft) and if view/ edit show the record value.

I was able to achieve this easily for the text field using the below expression in the item property.

If(FormBasicInfo.Mode=FormMode.New, User().Email, ThisItem.RaisedbyEmail)

@CrazyCol - no I am still not on the same page.

 

As I understand it, you want your Combo Box to default to "Draft" whenever a user launches a Form in New Mode, and to default to the existing choice value already saved for the selected record when the form is launched in Edit Mode.

 

The suggested answer I gave in my very first response should have resolved the problem. But for whatever reason, I have now learned that you have this in the Form Item property:

 

If(BrowseGallery1.DisplayMode = DisplayMode.Disabled, selectedRecord, BrowseGallery1.Selected)

 

 

The above is the likely cause for your problem. What is this for? What is this doing to warrant it's inclusion vs Gallery1.Selected?

 

This is not clear.

I had a win!, last time I copied and pasted your three suggested solutions (individually) and they returned the same error, this time I typed them in to see if the true or false section was returning the error. I still received the same error I referenced before for the first two solutions, but this time the third solution worked.

I am not sure if the success this time is due to the fact I typed the expression in or some other property change that may have occurred. 

 

Regarding the Form item property, My Original form always had Gallery1. Selected, the other expression referenced above was the result of creating a new form as you suggested, which used the existing table but with a PowerApps default template.

I do not disagree with your statement that conditions should not be added to this property, but just for the sake of ruling this out as the cause of the problem in this instance.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
