Hello,
I am developing an app that will have two buttons - Check In and Check Out. The data is connected with my sharepoint list called EmployeeOffice.
I used the following formulas:
Check in button:
Set(CurrentCheckedInRecord; Patch(EmployeeOffice; Defaults(EmployeeOffice);{Title:"Office";StaffFullName:User().FullName;StaffEmail:User().Email;CheckIn:Now()}));; Navigate(CheckIn;ScreenTransition.Fade)
Check Out button:
Refresh(EmployeeOffice);; If(!IsBlank(CurrentCheckedInRecord); Patch(EmployeeOffice;CurrentCheckedInRecord;{CheckOut:Now()}));; Navigate(CheckOut;ScreenTransition.Fade)
I would like to add the following functionalities:
- you cannot check in again if you didnt check out (the message that you are already checked in should appear)
- you cannot check out if you didnt check in (the message that your have not checked in should appear)
I use FullName of my employees and Email address. Employee will check in and out everyday.
Thank you in advance!
Best regards,
Bartek

Hi Terrence
Instead of inserting a combo box directly, I have inserted an Edit form. I have connected the edit form to my SharePoint list and the selected the employee field as the only data field to display. This what you see on my picture of the app in tree view. The actual datafield where you select the employee is by default called something with DatacardValue. I have renamed that one to SelectedEmployeeValue.
Feel free to write a direct message to me here on the power apps forum platform, if you need further assistance 🙂
Hello,
Ok, so I removed the combobox and insterted an edit form. I connected it to my Sharepoint list and removed all of the fields but employee. I'm still a little confused how to get employees names to show up in the employee drop field so they can select their names?
Secondly, when I go to test the app the edit field is displaying "no item to display"?
A column of type 'person' in SharePoint will normally search/lookup for employees in your organization. If you test the column in SharePoint (Create a new row in the Sharepoint list) and you try to fill out the person column, does it not show employees in your organization when you try to search?
Regarding your second question: You need to change the DefaultMode property on your Form1 to:
Hello,
You were correct about the sharepoint list person column. It does search for users within my organization.
I watched your video and setup all of the formulas as you did but I must be missing something.
*When I test the app the name, I selected is still not showing up on my sharepoint list.
*When I select "check in" for a user. The "check in" option is still available. The button doesn't check to "check out"
*Can you please take a look at all of my formulas and tell me what I'm missing. I feel like I'm so close.
Hi
Let's start with solving the problem with patching the selected person to your SharePoint person column.
Your solution is a bit different from the one in the video Employee check-in / check-Out App , because you have created an employee column in the SharePoint list.
Therefore we also need to change the patch function in the Power App to patch the actual selected value to the list. Furthermore, we also need to patch it to the correct row.
I have changed the code to reflect your needs. This is the code for the onSelect property of the Check in / Check out button.
If(
locEmployeeRegistrationStatus.ID = 2,
Patch(
'Employee Check in check out',
First(
Sort(
Filter(
'Employee Check in check out',
Employee.Email = SelectedEmployValue.Selected.Email
),
'Check In',
SortOrder.Descending
)
),
{'Check Out': Now()}
),
Patch(
'Employee Check in check out',
Defaults('Employee Check in check out'),
{
'Check In': Now(),
Employee: SelectedEmployValue.Selected
}
)
);
Navigate(Screen1)
See if you can get it to patch a check in with the selected employee.
Correct me if I'm wrong - But you only have 1 screen in your app?
Because if that is correct, your Update context function that checks your registration status, is not running after you click the button. That is because it is implemented on the Onvisible property on the screen.
That's why The "check in" option is still available and the button doesn't check to "check out"
If you would like the app to only have one screen you need to think of a way to trigger a 'refresh.' of your registration status. A refresh could for example be a new buttons onSelect property , that has the same code as you have in the onVisible property.
Hello,
I updated the patch formula and it is working. When I tested it with my name, I was able to check in and it did list my name in SharePoint on the same row of the check in time stamp. I also noticed that the button then changed to "Check Out" but when I click "check out" the time stamp doesn't record on the row with my name.
I also, created a second screen since it seems to be a better way to refresh the registration. I setup my first screen with a check in/check out button that navigates you to screen 2.
Can you sent the current formular you have on the OnSelect property of your check in / Check out button?
Here is the formula for the check in / check out button on my second screen.
Hi
Try to replace your semicolon with a comma.
Hello,
I tried your suggestion, and it worked like a charm. Both time stamps are now showing up in the correct row.
The last problem I'm seeing is this scenario. Employee A comes in finds their name and checks in. The screen navigates to back to screen one. Once employee B clicks the check in/check out button on screen 1 and goes to screen 2 Employee A name is still showing with the button available as check out.
The screens registration is not resetting it stays on the previous employee. Does that make sense?
Is there a way to reset the fields after any employee checks in or checks out? But app recognizes what status the employee is in (checked in or checked out) so that at the end of the day the correct status (check in or check out) on button will appear once they select their name?
