End Users receive pop-up asking for permission when launching Power Apps

Hi Team ,

 

I have created a Power Apps form to submit data to a SharePoint list. This form is shared with the whole organisation providing them with 'User' access on it. 

 

Problem Statement : When any of the end user opens the form for the first time , they have to 'Allow' access as seen below. This is not user friendly and can be confusing for most non-technical users. Is there a way to allow this by default so that every user does not require to go through the pop-up. We have alreay given them the required access on the form and the list it connects to. We have SSO(Single sign on) enabled on the enviroment.

BTW - the magic PowerApps cmdlet in PowerShell is...

Hi Neha,

 

It’s a default behavior. When you share an app, you are also asked to share your connections. Some resources are shared automatically, while other resources require shared users to take extra steps so that the app works as expected.


The first time shared users open the app, they are asked to sign in with their own credentials. It won’t occur the next time shared users open the shared apps.

Thanks Mabel , the link is informative. I am using Power Apps to connect to SharePoint Online list. I tried to find the share connections options , but it is not visible in the connection to the SharePoint tenant used in the form. Does that mean this conection cannot be shared and has to allowed by every user accessing the form?

For you are using SharePoint list as your data source, to share this connection, you should go to SharePoint site to specify permission level to shared users. This documentation about “Edit and manage permissions for a SharePoint list or library” could be a reference for you:

After you shared app and specified permission level for shared users, shared users need to create their own connections to the data source, then they would be able to access the app as expected.

 

So we could share apps on PowerApps. While to share the connections that cannot be shared automatically, you should go to the data source to find the proper way to share it with shared users.

 Hi, what does this mean:

"shared users need to create their own connections to the data source" - is this done when the user clicks Allow in the popup?

 

I have a user that gets a popup with 'Sign in failed' and cannot click allow. User has 'can use' permission in powerapps, and 'contribute' permission in the sharepoint site. 

 

What else do i need to configure here?

Allow Access doesn’t mean that shared user has created their own connections, it means that shared user allows PowerApps to access the data source on their side.


To create their own connections, on powerapps.com portal, click Connections, then select SharePoint and create the connection with their own credentials.

Oh dear...

I know how to create a connection - I have created one for the app (emphasis on I, not the target audience/consumer of the app)

 

Just to clarify, we cannot build a sharepoint list, build an app that references the list with a shared connection and deploy the app to multiple users (The permissions handled by sharepoint and Me sharing the app). Every user has to create a connector to the sharepoint list by using the PowerApps portal? Unless I am mistaken, that does not seem to be user friendly.

 

In my use case i have 30+ users (generally non technical) who must login to powerapps and create the connection? Please advise if there is a better way to deploy these apps.

I don't think that he means every user has to create a connection in the PowerApps portal, I've yet to see that behavior but I believe it's the initial "Allow" access screen that pops up when they first launch the App that he is referring to and should be the only thing a user has to click to continue on. This makes it a bit easier on someone accessing your app to know to just allow those connections and move on. If something else has to be created outside the App that's a completely unacceptable solution.

 

Curious what the response is, the responses have been unclear and quite the mess so far in this thread...

Unfortunately it seems every user has to Create his/her own connection once. Not a good UX Smiley Sad

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
