Filter Gallery by Group

I have an App that uses SharePoint as a data source and has a people column ('Assigned To') that can hold people and groups. While I can successfully filter the gallery in my app by the logged-in user, in some cases I would like to do this by groups too. I would like to achieve the following:

 

- The logged-in user sees any items in the gallery assigned to themselves or the group. For example, if User A is part of an Office 365 group called 'Test Group', then I would like any items assigned to the 'Test Group' to appear in User A's gallery along with other assigned items to User A.

 

Any suggestions would be much appreciated 🙂

Hi,

 

Yes to all three of those. No filter in the gallery.

 

On other items, it says false (which is correct) as its not assigned to the group, but then true for if the user exists in the group (as noted in the item in the gallery on my screenshot above - 'Test 26'. Again, this is correct as the user assigned to that item is a member of the group).

 

By email ID, it lists email addresses of all users in the group.

 

Thanks again for all your responses. It is very strange as to why that item doesn't seem to appear as all the others. Any further ideas (if any at all!) would be much appreciated.

I still have the same issue in that not all chosen fields in my gallery appear for any items that are assigned to the group. As mentioned before, I would expect title, progress and date to appear along with a clipboard image. To the right of the screen, I would expect an arrow icon that navigates to another screen showing that shows more detail regarding that specific item. See screenshot below:

Do you think there are any settings in the SharePoint site that may be affecting this?

Can you validate permission for this Site?

  • Go to List Settings
  • Click Permissions for this List

I guess this site allows to access the list for the user but not the group.

 

Other troubleshooting items

  1. Can you create a new list and test this if possible?
  2. Disconnect the current connection and re-connect as well

So after refreshing connections, re-building the list and refreshing the permissions on my SP list (literally just removed and re-added), It all seems to be working. I have tested with a colleague who it also seems to work for. Thanks very much for the persistence and for offering a solution. 

 

I can now move on to other problems (how can something be assigned to a group, but act as if its been assigned to an individua? If I change the status on a list item assigned to a group  to 'completed' for example, how can I ensure that its only 'completed' for me and not other members who haven't completed their action? - Pretty sure this can't be done! 😁)

Since this is assigned to the group, anyone from the group can able to edit it. We can do validation like the person who created this item is only able to edit it.

 

It means disabling the form/fields when the other users viewing the specific item when created by or owner is not the current user.

I figured as much. What I'm really looking for as for someone to assign an list item to a group, but then have each item work individually so User A see's an item assigned to 'Test Group' when User A accesses the app for example and can update the item for them only. If User B accesses the app, then they will see the same item assigned to 'Test Group' and can update the item without affecting User A's changes (In effect, working as if assigned to an individual user). 

 

I expect we'll need to revisit how all this works before investigating this further. Thanks again for all your help.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
