Filter a Gallery based on a values belonging to a collection

Please Help.. I want to filter data in my gallery based on a list of values in a collection.

I get delegation warning. Requests is the name of my sharepoint list which is the data for the gallery.

 

myTeamName is the collection which has several values

To deal with delegation warnings here are a few things you can do:

  1. Filter your data down using delegable queries as much as possible, then apply a non-delegable filter operation. For example, I noticed you have a Status column in your data - any chance we can use that to hone down the list to get well below 2000 records? Or perhaps there is a date column we can use. This is the more performant route.
  2. Load the entire list into an internal collection and then use whatever filters we like. Check out this blog for info on how to create these large collections

The basic format of a query under scenario 1 above is:

With(
    {aData: Filter(Requests,   // a filter using only delegable queries to get below 2000 records
    )},
    Filter(aData, Team.Value in myTeamName)
)

Hi, try adjusting your filter so that it references Team.Value to something in the Requests Sharepoint list. Filter() acts by comparing the records in Request to your expression. If the expression does not return true for any record in Requests, then no records will be returned.

What is the syntax to filter the gallery against the collection which can contain multiple values?


Try:

Filter(Requests, Team.Value in Concat(myMultiChoiceColumnName,Value))

This assumes Team.Value is a string and you have replaced myMultiChoiceColumnName with the name of the applicable choice column from the Requests list.

Thank you for your responses. I appreciate it but this is the current scenario:

The 'Requests' sharepoint contain a field called 'Team'. This field will only have one value.

I want to filter all requests in my gallery where the Team resides in my Collection.

This is my collection. My collection can have one or more values

Can you help with the syntax to filter my gallery?

I want all items in the Request list where the Team Name is in my collection of Teams

That additional information helps tremendously. Most users want to use a dropdown control to handle multiple filters such as the myTeamName collection. To do that, please do the following steps:

 

  • Insert a dropdown (assume it is called Dropdown1) outside of the gallery and set its Items property to myTeamName.Title
  • Set the Items property of the gallery to Filter(Requests, Team = Dropdown1.Selected.Title)

When the user selects each team in the dropdown, the gallery will auto-update the filter to match the new selection.

Thank you for your suggestion but my use case is slightly different.

It's a help desk system and based on the category selected at the time of creating a ticket, it it automatically assigned and routed to a Team.

A team can consists of one or more users and the same person can belong to multiple Teams

I want to have an interface where the user can see all the tickets assigned to his/her team

The collection has one or more teams the logged in user belongs to.

 

I want to filter the gallery to say, give me all requests where the team assigned is equal to any of the teams in which the user belongs to.

This listing should be automatically loaded when the user lands on a page called "Tickets assigned to my team"

 

Does the above give some context as to what I need to acheive?

OK, if I understand you correctly, then the myTeamName collection is the list of teams that this user is a member of, and you want to bring up all requests that pertain to any of their teams. That's a slight adjustment to the filter:

Filter(Requests, Team in Concat(myTeamName,Title," "))

This assumes the Team column in Requests contains single line of text (string) data. It pulls the team names from the myTeamName collection together into a string for comparison to the string from the Team column.

Thank you for taking the time to understand my troubles and assist me. This does in fact return the current results but I am faced with a delegation warning (see img. below) which I would like to avoid. Any suggestions to help with this?

The "in" operation is causing the delegation warning - we can make adjustments to go around that, but at the moment is that filter working?

 

If you never expect to have more than 2000 records in Request, we can completely ignore the delegation warning. If you do expect lots of records, let us know and we'll help you build a delegable (but slightly more complicated) filter query.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
