Filtering Gallery based on current user by grouping them and using Flexible Height Gallery

Anyone here worked with the "Flexible Height Gallery?" I am trying to filtering out the SharePoint list based on the current user and only show data to the specific user in the gallery. However, because there are many items in my SharePoint list, grouping the data and making them visible based on current user is the only feasible way to filter out the gallery. But, because there are more items, the current user data is somewhere between within the gallery and I don't want user to scroll the gallery to look for their item? Is there any way to only show the data to the current user without empty space? I referenced this video https://www.youtube.com/watch?v=tPxE_-DcWkg and thought flexible gallery will resolve my issue but is there a way to only show data for the current user in the gallery without scrolling to find their item?

Thanks but this didn't resolve my issue to filter out the gallery based on current user. Even if I can filter out the gallery using the text input with their name, I can live with that solution.

Yes, you will do this with the Filter function on the Items property of the Gallery.  You have not mentioned what would define the items that are related to the current user.  Is there a column you are holding that information in, or is it as simple as the Created By for the item?


If it is the Created By, then you can consider the following formula for the Gallery Items property:

With({cUser: User().Email},
   Filter(yourList, 'Created by'.Email = cUser)
)

This won't work for my list because created by have the service account for each of the list item. I am trying to filter the gallery for the Owners column where there can be multiple owners and if I do Filter(ListName, cUser in Owners.Email) I get hit with delegation issue. What I did instead, is group the items in the gallery and set the visible property to (cUser in This.Owners.Email) which hides all the list items which the current user is not part of but only shows where the current user name is listed. However, for the current user to view their list item, they have to keep scrolling until they find their list item. My question is around how to show the current user list item on top of the gallery instead of them being scrolling to find their item?

Understood.  Is your list expected to be over 2000 items and you have no other delegable pre-filtering that you can use to limit the results?

In other words - 

    Filter(Filter(yourList, Status="Open"), cUser in Owners.Email)

in this case, the inner filter is a pre-filter that is delegable.  If it returns a subset of data that is less than 2000, then the outer filter is not an issue.

That is the more simplistic solution to this (in terms of performance and memory use) as having all of the items in your Gallery but not visible will still have them in the Gallery.

 

Okay...that said...and this is going to sound odd - what is the padding of your Gallery set to?

My padding is set to 5 and my list items exceed more than 2000 items.

Okay.  The list padding is significant to a bug with flex height galleries.  It is fine in your case.

 

So back to the 2000 items - do you have any sort of pre-filter that you can use, like a status or open/closed or date or anything that would limit the initial load of data?

This would be the simpler answer to move away from using a flex height gallery to avoid delegation.  I've used it before and have helped others try to make this work and it always seems to be flaky. 

 

If not...then I am leaning on your statements about the space in the row item still being there even though all the controls are not visible.  Are you able to provide a screenshot of what you are seeing?

This is what I see. Unfortunately, most of the columns are empty and will need to be enter by the owners so that I can patch it back to the SharePoint list.

Great...so what I am not seeing in that picture is what I believe you are stating the problem is, that everything above that first line in the picture is empty?  And the problem is that the user must scroll through a long list of "empty" to get to that line that is showing anything?

Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
