Integrating Checkbox Multi-Item Editing with Existing Editable Gallery

Hello,

I am currently creating a PowerApps that allows me to search for items/users within a SharePoint, and on the second screen, there is an editable gallery that is filtered out based on the item that is selected. As it is currently set up, the items in the editable grid are essentially just a function that filters out the gallery based on our selection; that is what the items of the gallery are. I also established row numbers within the items, and I run a funciton on a button that allows me to "apply down" changes that are made within the items of a row. The issue I run into is that I want to be able to edit items based on check boxes within the gallery; the check boxes collect the data of the items within the row, and I want to create a separate button that applies the changes to the items within the selected row based on the input of the field of boxes outside the gallery. (i.e., I select 4 rows using the check boxes, and there are 4 input fields outside of the gallery, the input will be copied to the fields wihtin the selected row). I tried to incorporate a method seen in Reza's video by going based on different variables that we esatblish; the issue I run into is that the changes are not displayed are put through since his functions call to variables that hold the gallery items whereas my gallery items are pulled directly based on the filtered gallery. How can I use the checkboxes when I cannot call to the selected records since they are within collections that I cannot call to in the gallery?

@Anonymous ,

OK - your gallery is essentially based on

Filter(
   'TEST - FY23',
   Title = selectedId
)

so you need to write to 'TEST - FY23' with the changes from the controls outside the gallery. Assuming you have a checkbox in the Gallery to select the required items, it would look something like this

Patch(
   'TEST - FY23',
   ForAll(
      Filter(
         GalleryName.AllItems As aPatch,
         YourCheckBoxName.Value
      ),
      {
         ID: aPatch.ID,
         FieldName1: ExternalControlValue1,
         FieldName2: ExternalControlValue2,
         . . . . . . . . .
      }
   )
)

Hi @Anonymous ,

To summarise my understanding before I go any further: -

  • You have a gallery with the Items based on a collection or data source (please specify)
  • Inside this gallery you have (I assume) checkboxes to select multiple records in this gallery
  • You then have four input fields (please specify the type and if drop-downs, the Items) outside the gallery
  • You want to populate some fields in the gallery source on all records selected with the input of the fields outside the gallery.

Is all of this correct ?

Hi @WarrenBelz ,

Yes that is correct, the 4 input fields are an input box, 2 dropdown boxes (the items are just manually inputted items such "["","","",...]", and another combo box that uses the choices from sharepoint.

Hi @Anonymous ,

Can you please answer each question with specifics - in particular the Items of any combo boxes/drop downs and the gallery.

Hi @WarrenBelz ,

The Items in the gallery are based on using this function.

With(
    {
        wList:
        Filter('TEST - FY23', Title = selectedId)

    },
    ForAll(
        Sequence(CountRows(wList)),
        Patch(
            Last(
                FirstN(
                    wList,
                    Value
                )
            ),
            {RowNo: Value}
        )
    )
)

The checkbox function is put on 'onCheck" and it is the following:

Collect(colSelected, ThisItem)

In the input fields outside of the gallery. There's 2 dropdowns:

Their Items are,

["Department1", "Department2", "Department3", "Department4", "Department5"]

["Core", "Extra"]

There's a combo box that is the following:

Choices([@'TEST FY23'].'Column Name')

and an input field that is just a text input field
