Leave Request Template Customization

Hi there!

I'm trying to figure out if the following things are possible by customizing the Leave Request Template, and if yes, how. Could someone please help?

  1. My org's leave balances refresh not by calendar year but by fiscal year. Is there a way to adjust for this? Our fiscal year is April 1-March 31.
  2. Our employees' vacation allowance is based on their years of service and not a standard x days per year. Is changing the spreadsheet manually the only way? The template seems to have static numbers for each leave type.
  3. We allow for half days off, is this possible?
  4. Is there a way to automatically input the approved leaves into our shared Outlook calendar?
  5. Is there a way for an employee to request to cancel/amend an approved leave?

Thank you!

Hi @lsui ,

Q1:

Do you want to change calendar year?

Then you need to customize the BalanceCollection. (App's OnStart)

This collection's original setting:

ClearCollect(BalanceCollection,
        {
            EmployeeEmail: _myProfile.UserPrincipalName,
            EmployeeName: _myProfile.DisplayName ,
            Year: Text(Year(Now())),
            Vacation:10,
            VacationUsed:0,
            Sick:8,
            SickUsed:0,
            Floating:8,
            FloatingUsed:0,
            JuryDuty:3,
            JuryDutyUsed:0,
            Bereavement:5,
            BereavementUsed:0,
            BalanceID:_myProfile.UserPrincipalName&Text(Now(), "[$-en-US]mm-dd-yyyy-hh-mm-ss-fff")
        }
)

Notice the year part. It is directly set to current year. If you want to set to  fiscal year, you could change this part to:

'fiscal year':  Text(Date(Year(Now()),4,1)&"-"Date(Year(Now())+1,3,31))

 The calculated label for balance(NewRequestScreen Label1_9)'s Text could add a filter rule about fiscal year:

 LookUp(RequesterBalanceCollection, type=_selectedLeaveType, balance,'fiscal year'=Text(Date(Year(Now()),4,1)&"-"Date(Year(Now())+1,3,31))) - _requestedDays
    &
    " days"

Q2:Still the collection in Q1.

The BalanceCollection in App's OnStart has stipulated the vacation days.

If you want to change it to be based on their years of service, you could use formula in this collection.

For example:

If you have a table with current user's years of service, you could set like this:

Vacation:10+Value(LookUp(tablename,Email=User().Email,'years of service'))

Q3:

Yes. Then you need to make a lot of change:
1)the NewRequestScreen's select date part: you need to add select time part.

When you update the request, you need to update time part too.

2)the calculated label for balance(NewRequestScreen Label1_9)'s Text should add the part of calculating time

3)the leave collection needs to add a column with time value.

You need to change it in app's OnStart.

Q4:You need to connect with Office365 outlook connector.

When you submit the request, you also update calendar in office365 outlook.

ConfirmationScreen's OnVisible add this part:

Office365Outlook.V4CalendarPostItem(Calendar id,Subject,Start time,End time,Time zone)

Here's a doc about the function of adding event in outlook calendar for your reference:

https://docs.microsoft.com/en-us/connectors/office365/#create-event-(v4)

Q5:

1)edit part:

You could add a screen for editing request.

Use an edit form in this screen.

Set the edit form's Item to GalleryRequests.Selected

2)delete part:
You just need to add a delete button inside GalleryRequests gallery. (HomeScreen)

set the delete button's OnSelect like this:

Remove(LeaveCollection,ThisItem)

Hi @v-yutliu-msft  @lsui ,

I want to covert this application, to save data into SharePoint as I want to maintain the records, I have created the columns in my List, just as they are in this collection, but the data is not saving into my collection.

what's the problem please help!

Hi @v-yutliu-msft

U have shared that piece of code: Office365Outlook.V4CalendarPostItem(Calendar id; Subject....)

iam interested in to implement on leave request templat, but no working can help me with the right code, i dont know how exactly to do!

Hi, I am having a similar problem.

I have created a Leave Request app, with customised balances for my leave types, which I have also reduced to just "Vacation" and "Sick Leave". However, the Leave Balance is showing as 0 on My Leave Balance when I test the app.

This is the amended code in 'On Start' relating to the balances.

EmployeeEmail: _myProfile.UserPrincipalName,
EmployeeName: _myProfile.DisplayName,
Year: Text(Year(Now())),
Vacation:25,
VacationUsed:0,
Sick:7,
SickUsed:0,
BalanceID:_myProfile.UserPrincipalName&Text(Now(), "[$-en-US]mm-dd-yyyy-hh-mm-ss-fff")

This is 'On Visible' on my Leave Balance Screen

Concurrent(
Set(_navMenuSelect, "My Leave Balance"),
ClearCollect(RequesterBalanceCollection,
{ type: "Vacation", balance: Value(_requesterBalanceRecord.Vacation) - Value(_requesterBalanceRecord.VacationUsed)},
{type:"Sick Leave", balance:Value(_requesterBalanceRecord.Sick)-Value(_requesterBalanceRecord.SickUsed)}
)
)

Any help would be really appreciated!

Thanks.
