Multiple Forms and Approval Flows For a Single List Item

Hi there,

I have a tricky flow that I need to try and setup and I am not sure the best way to go about it. I have a bit of experience using forms to update a sitepage using power apps along with approval flows.

The problem:

I need to use a form to collect data from user #1, save results of each question as a property of a list item, then have the item approved by an approver.

After the item is approved, I need to have a second form be sent to user #2 who completes it and saves the result to the same list item as before (using different questions and properties). This then needs to be approved also.

What would be the best way to achieve this? I'm having a hard time understanding the capabilities of power apps - is this type of pattern even possible, or is there another way to achieve a similar result? Another solution I was thinking about is perhaps appending the results of the forms into a single document of some sort.

Any direction is appreciated.

I don’t quite understand what your specific needs are.Could you describe them more specifically?

The following is my understanding, if there is any mistake, please help me to point it out:

Step1:User#1 write some questions and store them in the SP list line by line

Question

Q1

Q2

Q3

Step2:User#1 writes and saves these questions, and then approves them (Yes/No).After everything is over, notify User#2 to continue.

Step3:User#2 approves the record approved by User#1

Not quite.. sorry if I'm not being clear.

3 forms are created to answers a set of questions from 1 to 10:

Form#1- 1,2,3

Form#2- 4,5,6,7

Form#3- 8,9,10

User#1 fills out Form#1 and then submits it. The answers then get reviewed and approved and stored somewhere (I was thinking as columns in a list item). The approver then sends form#2 to user#2 along with the answers from the first form, this is then approved also. The approver sends form#3 to user#3 who can see the previous answers and also submits this for approval. In the end you have a complete set of questions that have been answered by 3 separate people with each response being moderated by an approver.

This is a workflow where documentation needs to be completed by multiple parties and stored somewhere to be retrieved easily.
