Hello,
I have 2 SharePoint list Application Registration and StaffApplicationRegistration:
Application Registration is below:
ApplicationName | ApplicationAccessLevel |
JIRA | Read,Modify |
Confluence | Modify |
Xero | Read,edit,modify |
|
|
In the ApplicationRegistration power app, ApplicationAccessLevel has choice fields(Checkbox).
In staffApplicationRegistration has Staff, ApplicationName(Choice), and AccessLevel Fields(Choice).
Application Name and AccessLevel both are based on Application Registration.
In staffApplicationRegistration power app When I select Xero, In the gallery it will display Read, edit, and modify(separate not together) only, with a checked checkbox. If I unchecked One check box it will save only that value that is checked. For example, if I unchecked on reading it will save only edit and modify in SharePoint list like below.
Staff | ApplicationName | AccessLevel |
XXX | Xero | Edit, Modify |
Please help me for that I tried all formula but I cannot find the solution.
Thank you.

Hi @Anonymous ,
Would you like to update the staffApplicationRegistration list via uncheck the automatically checked AccessLevel in the Gallery? Is the ApplicationName a LookUp type column in staffApplicationRegistration list?
If so, please notice first that: You could not work in an Edit Form since you will not be able to access the selected item in the combo box inside a Data Card. As the result, you may add all controls into a blank screen.
Then assuming that ApplicationName column is LookUp type column, below are the steps:
1. Set Items of the Combo Box to:
Choices(staffApplicationRegistration.ApplicationName)
2. Set OnChange of Combo Box to:
ClearCollect(colAccessLevel,Choices(staffApplicationRegistration.AccessLevel));
ClearCollect(colAcc,
Filter(colAccessLevel,
Value in
LookUp(ApplicationRegistration,
ApplicationName=ComboBox1.Selected.Value
).ApplicationAccessLevel.Value
)
)
3. Set Items of the Gallery to: colAccessLevel
4. Set Default of the CheckBox:
If((ThisItem.Value in LookUp(ApplicationRegistration, ApplicationName =ComboBox1.Selected.Value).ApplicationAccessLevel.Value),true,false)
5. Set Text of the CheckBox in the Gallery: ThisItem.Value
6. Set OnUncheck of the CheckBox to:
Remove(colAcc,ThisItem);
Patch(List2,If(IsBlank(LookUp(staffApplicationRegistration,staff=TextInput1.Text && ApplicationName.Value = ComboBox1.Selected.Value)),Defaults(staffApplicationRegistration),LookUp(staffApplicationRegistration,staff=TextInput1.Text && ApplicationName.Value = ComboBox1.Selected.Value)),{staff:TextInput1.Text,ApplicationName:ComboBox1.Selected,AccessLevel:colAcc});
Reset(TextInput1); Reset(ComboBox1); RequestHide()
Please look into my demo to check if it suits your scenario:
Below are results in the list:
Hope this helps.

Hi @Anonymous ,
It should be "StaffApplicationRegistration", sorry for the typo.
So the staff name column is Person type, then you'll need a combo box for users to select staffs let's say it's "StaffComboBox". Assuming that you have set Items of StaffComboBox to Choices(StaffApplicationRegistration.Staff), UnCheck of the Check Box would be:
Remove(colAcc,ThisItem);
Patch(StaffApplicationRegistration,If(IsBlank(LookUp(staffApplicationRegistration,staff=TextInput1.Text && ApplicationName.Value = ComboBox1.Selected.Value)),Defaults(staffApplicationRegistration),LookUp(staffApplicationRegistration,staff=StaffComboBox.Selected && ApplicationName.Value = ComboBox1.Selected.Value)),
{staff:{'@odata.type':"#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
Claims:"i:0#.f|membership|"&StaffComboBox.Selected.Email,
Department:"",
DisplayName:StaffComboBox.Selected.DisplayName,
Email:StaffComboBox.Selected.Email,
JobTitle:"",
Picture:""
},
ApplicationName:ComboBox1.Selected,
AccessLevel:colAcc}
);
Reset(StaffComboBox); Reset(ComboBox1); RequestHide()
Person type is special in SP list, If you use Patch to update, you need to follow the format below:
ColumnName:{'@odata.type':"#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
Claims:"i:0#.f|membership|" & User().Email,
Department:"",
DisplayName:User().FullName,
Email:User().Email,
JobTitle:"",
Picture:""
}
Hope this helps.

Hi @Anonymous ,
Please check if you have set Allow Multiple Selections in Access Level column of StaffApplicationRegistration List.
There in my post formulas colAcc is a Table since I assumed it is a multiple selection Choices type column, but the error prompt seem to say it need single record which means single selection is allowed. So I doubt it should be wrong setting of the column.
If in SP online, set it here:
And remember to refresh the data source in PowerApps studio after modifying the list.
Hope this helps.

Hello @v-jefferni ,
I got the error (The patch function has some invalid argument). In staff Application registration staff field is person and group so I write Datacardvalue3.selected.DispalyName but still I got the same error. And in the formula instead of List2, I pass StaffApplicationRegistration That would be fine?

Hi @Anonymous ,
Could you please share more about the issue? Do you mean no record created in SP list or records created with some columns missed?

Hello, Actually I have a separate save button, after a click on this but it will save in the SharePoint list. but it, not save
Hello @v-jefferni ,
I got error in patch function ApplicationName. I move patch function on button. I tried this formula but it does not wrok.
ApplicationName:{ '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser", Value: Application_d1.selected.ApplicationName},
On update :
If(EditForm1.Mode=FormMode.New,LookUp(Choices(StaffApplicationRegistration.ApplicationName),Value=Application_d1.Selected.ApplicationName),ThisItem.ApplicationName)
In staffApplicationRegistration, ApplicationName is lookup field and in Application Registration, have Text field(Don't want to change field type).
So my whole formula on Submit button are below:
If(varMode="Edit",SubmitForm(EditForm1),Patch(StaffApplicationRegistration,Defaults(StaffApplicationRegistration),
{Staff:{'@odata.type':"#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
Claims:"i:0#.f|membership|"&DataCardValue6.Selected.Mail,
Department:"",
DisplayName:DataCardValue6.Selected.DisplayName,
Email:DataCardValue6.Selected.Mail,
JobTitle:"",
Picture:""
},ApplicationName:{ '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser", Value: Application_d1.selected.ApplicationName},
AccessLevel:colAcc}
); Reset(DataCardValue6); Reset(Application_d1);
