Populate fields with values from different list

Hello everyone,

 

first post here though have been on PowerApps for the last 3 months.

I'll try to keep it short.

 

EXAMPLE

I have two (separate) tables with identical field names.

 

Table EXT(ernal)

  • EXCEL table.
  • 25 fields.
  • Contents coming from MS Form submissions.
  • Anyone who wants to get a test drive, submits their contact details on the MSForm. (Since canvas apps aren't shareable externally)

 

EXAMPLE EXT LIST

Table INT(ernal)

  • Sharepoint List
  • 40+ Fields (all of the fields in the EXT table plus some more)
  • Contents populated by internals following submission via PowerApp
  • INT contains contact data for people who want to book test drives (internals or externals) as well as who puts them forward for consideration etc.

Scenario in the PowerApp:

  • User searches in Table EXT (the "external" one).
  • If they find an entry they want, they select it. 
  • After selection, the form fields for Table INT get populated with the values of the same fields in Table EXT

My problem is that we're talking 20+ fields so I don't fancy defining so many variables or typing 20+ lookup functions.

Also, even when I use variables, I have the problem that when I reset a variable to blank, the corresponding field won't empty itself but keeps the original variable value before it was set to blank.

 

I'm certain there's some smart shortcut round this, but I'm not advanced enough to dig it up.

Any pointers on what method to use?

For the record, I only have canvas apps, no dataverse, no blobs or anything like that. Just a plain old per app plan.

There is no need for any variables or lookups for all the columns, if the column names are exactly the same, then you can easily just put a record into the other.

 

Can you explain a little more on your actual process when you want to have the data in the other list?  You mentioned "If they find an entry they want, they select it. ".   Is that to say they just click on it, or are you using checkboxes or something else to select and at the end of it all you want to transfer all the checked items to the other list?

Hello @RandyHayes  thanks for taking the time.

 

I'm not sure how to put a record from one to the other. I tried to default my INT fields to the combobox.selecteditems but it doesn't work because the combobox is linked to list EXT whereas the fields I defaulted were in the INT list. (Or maybe there's something stupidly easy and it's too far into a Friday to think it).

 

So basically form EXT is just a bunch of contact details anyone can enter to put themselves forward for a drive.

However, the drives are only granted after submission from one of our colleagues. In the past the colleagues had to enter everything by themselves. Then they asked "what if we share an MSform, collect the basics from the outsiders and when we submit a drive request, we won't have to copy/paste everything; we simply look up the list  of submissions and pick the record we want".

 

At the moment, I'm using a combobox and they search by surname. There's also a small display form to show assorted fields from the selected EXT record so that colleagues can be sure of which one they select. (in case of common surnames etc.)

I have a button to reset/clar the combobox which works fine.

The problem is a button that I want to perform the copying over of the values from List EXT to List INT. At the moment, I don't know what to enter in the 'OnSelect' that could carry this out.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
