Power App Flow Suggestion for Easy of Form Filling

Hi all,

I am a pretty novice user of Power apps. I want to build a quality assurance app where the people in my firm who work in a specific department and area would use the app to fill out a form and the data will be saved in the sharepoint list.
There are  2 forms
1st has : Date, Department, Area, Person name, Score 1,  Score 2, Score 3, Score 4, Score 5.
2st has: Date, Comment, Comment type, Department, Area, Person, Attachment 

Now - everyone who works for me will use the app on their phone and the would be filling out around 10-15 records in a day. The problem is that everytime they submit the form the form resets and asks to fill everything again. I don't want them to go through this, I want that once they add a record and then they want to add another, Not all fields but few of the form fields should auto fill based on the specific person's last record. 

How do I do this? I am open to any and all suggestions and help.

Oh wait, I just realized you are doing NewForm which negates the use of LastSubmit.

 

So, you have to use the other way which is a collection like so.

 

Step 1: For each control you want this to work for. Click on the Contorl

Step 2: Click Advanced Properties

Step 3: Click Onlock

Step 4. In your Submit button do this

 

ClearCollect(lastRecordValues,
    {
        Title: Title.Text
    }
);

SubmitForm(Form3);
NewForm(Form3);

Add your Columns. and use the values on the datacard to populate this. It must be done BEFORE you submit as submit wipes the data (even without the NewForm)

 

Now for each unlocked Control go to the Default Property (or default selected, whatever you captured in the Collection) and you will use some variation of this depending on the control

This is my Title Control

If(!IsBlank(First(lastRecordValues).Title), First(lastRecordValues).Title, Parent.Default)

When I save, it stores this, wipes the screen and the Default puts its back.

 

So sorry my brain farted on that one 😞

Hi,

 

You can set the default value of your controls to be the FormName.LastSubmit.FieldName, but I would validate that the LastSubmit/Field value isn't IsBlank or IsEmpty etc depending on type.

 

You can even set the Item for the Form to the LastSubmit. 

 

Also, I am guessing you are just submitting and not specifically doing a reset?

The column type is Number, Person, Text and Complex type.
Not doing a reset, just submitting and letting the person add more records based off of the values they added before.

Question: If we use last submit will it show the last submitted value in the sharepoint list? if that's the case then it can cause some issues if 2 people are using the app at the same time. Right?

It shows the last submitted based on the persons session, which I thought thats what you wanted.

 

No it doesnt show the last submitted in general, that would break security like no ones business.

Hi,

I tried that but it didn't work for me. 

So the form looks like this:

The tick mark on the top right corners has this code:
SubmitForm(EditForm1_1);
NewForm(EditForm1_1)

As per your suggestion I tried adding the last submit: ( I tried with default, defaultselected and both )

Silly question Did you create a new row yet? If you haven't and you just ran the app it wont display anything

Um, I filled the form and click on the check mark, it created a new item on the sharepoint list and cleared the whole form and didn't fill it again with the defaults.

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
