Power App based SP - Responsive Approval communicated through Power App-Power Automate-SP

Help! I have created approval flow through power automate for my sharepoint list, and now I am building power app, I need to link the created approval with power app button, but i could not find it !! 

 

I want to the approver once they click on the link sent by email to be able to open the item and review the details and click approve/reject from power app or they may only use the power app and reveiw the notifications and approve directly in the app.. and ofcourse i want this to update the SP list in parralel. 

 

Note: I did not publish my app yet, Is is affecting anything in the process?!

Hello,

 

It does not affect anything in the process if you update Approval related data correctly. As you may know, updating the approval status using Power Apps is simple.

1)Power Apps --> display list of requests by approver.

2)Invoke Run(2 params: approval ID & approver's choice)

3)Power Automate-->Update approval status(Approve/Reject)  : Approval in Dataverse

4)Update the request in SPO and reflect process result on the screen of Power Apps

 

Managing approval requests in an SPO list can be implemented in various ways. You can either:

  1. Get output from the Automate and save it to SPO.

OR

  1. Use a trigger when a row (Approval request) is added to Dataverse. (or directly populate a list of request from approval table,   Using a Dataverse connector requires an additional plan such as Power Apps per user or app)

[Detailed approval-related information is stored in tables such as Approval, Approval Request, and Approval Response]

You've already implemented the automation that creates approval requests. Use the Run() function to invoke the Automate that sends a request. Errors occur when the related properties are not updated (Properties are should be Stage=Complete, Result=Approve, Status=Inactive).

Error occurs when related properties in Approval record are not properly updated(e.g. Stage=Basic)

After the request is approved(=Updated to approve & Complete and Inactive) by the Automate initiated by the Power App, no further actions are available.

Your idea about using a link in email : "I want to the approver once they click on the link sent by email to be able to open the item and review the details and click approve/reject from power app" --> 

If you create an approval with an additional option, such as an item link (App link + "&approvalID=" & additional parameter approval ID) that includes an item description like "Click the link to review the approval", Your app use param function to check the parameter 'approvalID' and direct the approver to a screen for reviewing the approval, as you intended.

Param functions in Power Apps 

 

Of course, the screen for an approver should include code to verify that the incoming user is valid for the approval request, just in case another user tries to manipulate the app link.

I have done the flow in power automate and it is working fine , but I can not find it in power apps ??? I need to link the approval flow with the app itself 

and Is the Run() function the same as test ?? can you give me more details how to do this ? Thank you 🙂

The two parameters that I used as an example were for demonstrating the "simple processing of approval without any other variations." Please add more parameters if you want to create different results of approval.

When creating a request, the minimum parameter that you have to pass to the Automate is 'Assigned To,' assuming that you handle other important option inside the Automate by yourself
without additional parameters being passed.

Additional parameters can include 'Title,' 'Item link,' and 'Attachment,' among others, if you want to create a request that has different information depending on a situation. 

 

 

Both the app and the automate are in the same environment? Sometimes an automate is not found right after saving it. 

If the situation lasts, would you save the Automate as a different name and find the saved version?

I figure it out,, I should add my app as an assoiciated app inside the created flow in power automate
To show Power Automate flows in Power Apps, you can follow these steps12345:

  1. Sign in to Power Automate.
  2. On the panel to the left, select My flows.
  3. Find and select the flow you want to associate.
  4. On the Associated apps tile at the bottom-right, select Edit.
  5. On the Associated Apps page, select Add association. You'll find the apps in Power Apps that are using the same data sources as the flow.

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can.
