Show new attachments in red color highlighted instead of unsaved

I have a new form in powerapps with SharePoint as the datasource. User can raise new hardware request from powerapps which gets stored into the SharePoint list. I also have an option for user to resubmit the same request. 

 

In the resubmit request screen, I have an attachment field which shows the existing attachments for particular request.

If i add new attachments, it should show a label in red to indicate this is a new attachment uploaded. 

 

In the below screenshot, Sample1.docx is the new attachment in resubmit screen. Instead of unsaved, it should show as new. 

 

May i know how to achieve this ?

@Iantaylor2050 : As per my understanding, the text "Unsaved" cannot be changed to "New".

 

But you can try one thing, add a label below the attachment control. Then the visible property of that label will be based on comparison of counts of attachments. I mean whatever is already available in source for the record and whatever is current available now in control (which is not saved yet). If the count is not equal then the label will be visible. 

 

In the above screenshot, the count of attachment will be 1 which is already available in source for the record and once you add new attachment, then count will be 2 which is not equal to saved attached count.

 

And the text property of the label will be something like "You have new file attached, Please make sure to save the data"

I get your logic. However if there are multiple new attachments in the resubmit screen, may i know how to add multiple labels based on the new attachment count? 

 

In the screenshot below, as per your logic do we need to have 2 labels indicating new?

Hi @Iantaylor2050 , You don't have to show 2 labels for 2 unsaved attachments. Basically it will be always one label and in that label the text property will be "You have new file attached. Please make sure to save the data" and this label should be red color with bold font. So that user get it very clearly.

If there are 2 new attachments uploaded by requestor during resubmission, approver should know that these are the 2 new attachments. Hence i would need 2 labels to indicate 2 new attachments.

 

Approver would get confused if its 1 label and he wont know which one is the new doc uploaded out of below 3.

Hi @Iantaylor2050 ,I was not aware that you have approver logic for this complete flow.

 

I am assuming that your record will be having some kind of status/stage column which identify in which status/stage the form is currently. Can you confirm on that whether it there any such status/stage column available?

 

Also, if a requestor is resubmitting the record, does the status/stage get changed?

Yes before resubmission, status is Pending Revision.

 

After resubmission, status is Pending Approval

@Iantaylor2050 Ok! So, you are saying the if a record is already in Pending Approval and if the approver has not taken any action and then requestor still has rights to edit the record which is already sent for approval?  If that is case then this what I can suggest:

 

If a requestor is resubmitting any record, then you should give one more field in your form named as ReasonForReSubmitting which would be required field and only visible to requestor when the form is in "Pending Approval" status and without that user wont be able to resubmit the record. Of course for this you have to create a column in SP List.

 

ReasonForReSubmitting will be multiline text input where user have to update his/her comments about why they resubmitting the form. Of course user should be trained for the application that if they are making any changes to submitted form then they have to update their comments like they have new files with so and so name. They have changed some data in form etc.

 

And this field in the form will also be visible to approver. This is easiest way to inform the approver.

 

There could be other ways that might consider like you can show the attachment in gallery rather than showing in attachment control and based on modified date of form check the count of attachment and if there is new attachment then show that information to approver but it might become little complicated. So, its up to you.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
