value in a list item changes separate list item value

Hello,

 

I have two separate, but related lists in my app (both SharePoint):

 

1. Task List: primary list describing an assigned task.

2. Related Requirements List: specified requirements related to an assigned task.

 

Both lists are related by an assigned number (TaskNum for List1 =RefID for List2).

I have a choice column in List 1, with the following choices: “New”, “In Progress”, “Complete”, “Closed”, “Suspended”. 

In List 2, each associated requirement item has a yes/no toggle column to switch “not complete” to “complete”.

 

I want to automatically change the choice column’s value from “New” (the default value) to “In progress” when 1 related requirement is “complete”, then to “complete” when all related requirements are “complete”. 

 

Does anyone have any ideas on how i can accomplish this? any advice would be greatly appreciated!

Sounds like you could do it with complex if statements. How does your app work?

Do you search by task number then populate a gallery with requirements from list 2 with toggle buttons in each gallery item?

Yes, essentially. I have several search/filter options; below is a snip of the galleries side-by-side. Basically when one task is selected, it shows the related requirements in a separate gallery:

Right now, the blue "in progress" icon in the Task List is changed manually by the user, but I want it to automatically change when one requirement from the Requirements List is selected as complete. Then change from "in progress" to "complete" when all requirements are selected as complete.

 

I have no idea how to get started with this...

Try this. You may have to make hidden labels or variables to hold your numbers to put in your if statement.

I'm doing it with Labels titled Rows, Not Complete, Complete, Status

CountRows(Gallery3.AllItems)

CountRows(Filter(Gallery3.AllItems,TextInput2.Text = "Not Complete"))

CountRows(Filter(Gallery3.AllItems,TextInput2.Text = "Complete"))

In another label I'm using:

If(Complete.Text=Rows.Text,"Complete","Not Complete")

Then you would have to create a statement for the selected Task list item to change the InProgess icon.

Thank you for the advice! The labels seem to be working just fine to count the requirements. However, I don't know how to write the statement for the selected task to change the Inprogress icon. The following fxn is the last I tried:

 

If(lblComplete>=1 & lblNotComplete>=0,"In Progress", lblStatus.Text=Complete, "Complete", ThisItem.Status.Value)

 

where:

'lblComplete' is total complete requirements

'lblNotComplete' is total not complete...

'lblStatus' determines if all requirements are complete/notcomplete

'ThisItem.Status.Value' is the gallery item with choices "New, In Progress, Complete, Closed, Suspended".

 

Below is a screen shot to show an example of a selected task and the related requirements, with the labels at the bottom for reference:

Is it giving you an error or just not working? You may need to use And or &&

I'm getting several errors with the formula I used above and trying &&:

1. IF(   "Expected operator...."

2. lblComplete>= &   "Invalid argument type..."

3.  lblNotComplete>=0,    "unexpected character...." for the comma

Get started with this, but keep in mind you may not be able to put the If directly in the icon text. It may give you a circular reference error. You may have to set a variable based on another event. When you click a search, Onvisible, Onchange of Input, etc.

This is so close! It looks like i'm receiving the error you predicted:

The 'Status' choice column from the 'Task List' gallery originates on my task form. So I'm not sure how to make that change, which would reflect on the 'Status' icon in the gallery item. Would any of these options be feasible?:

1. reference the data source ("Task Tracker List") in the icon with something like:  If(Value(Label1.Text)>=1 And Value(Label2.Text)>=1, "Task Tracker List",Status.Value= "In Progress", Label3.Text="Complete,"Task Tracker List, Status.Value="Complete")

2. Reference the data source in the form with similar fxn.

3. If i set a variable on my "Requirements Form" (where the "complete"/"not complete" change occurs) save button, could this make it work?

 

Please note, I am VERY inexperienced with codes/functions and program design, and it takes a lot of research and trial and error for me.

The only difference between us is that I'm slightly experienced. Research and trial and error is the name of my game as well. 

So, the error you are getting now is that it isn't going to allow the Set to be used in whatever property you are putting this code. You definitely need to try a button or an Onchange of an input, such as when one of the requirements changes from Not Complete to Complete. The variables will be stored no matter where they are originated.

Looking back this is what you say in Number 3.

 If i set a variable on my "Requirements Form" (where the "complete"/"not complete" change occurs) save button, could this make it work? I think so.

The next hurdle I see could be the ThisItem.Status.Value, whether it will tie to the correct item.

Let me know what happens.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
