Hello,
I have two separate, but related lists in my app (both SharePoint):
1. Task List: primary list describing an assigned task.
2. Related Requirements List: specified requirements related to an assigned task.
Both lists are related by an assigned number (TaskNum for List1 =RefID for List2).
I have a choice column in List 1, with the following choices: “New”, “In Progress”, “Complete”, “Closed”, “Suspended”.
In List 2, each associated requirement item has a yes/no toggle column to switch “not complete” to “complete”.
I want to automatically change the choice column’s value from “New” (the default value) to “In progress” when 1 related requirement is “complete”, then to “complete” when all related requirements are “complete”.
Does anyone have any ideas on how i can accomplish this? any advice would be greatly appreciated!
Best Regards
I entered that exact function to the save button on my Requirements Form, and it seems to work. The only issues is as you recognized with the "ThisItem.Status.Value" since that is referencing a separate list (fxn below for reference).
If(Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)>=1, Set(varProgress, "In Progress"),lblStatus.Text="Complete",Set(varProgress, "Complete"))
I tried options to reference the correct list, lastly to add: 'Task Tracker List',ThisItem.Status.Value however, im not getting it correctly. Do I need to Patch somehow? Or Update?
@RyanJ1 ,
Yes, if that Icon value is coming directly from the list, you will probably need to patch or update the new value and refresh the list.
Try Patch('Task Tracker List, ThisItem,{Status:varProgress})
I tried many different options and combinations to update the data source, change the visual, and reference items across the lists, screens, and forms, but i'm getting errors with everything.
My last attempt was to add the fxn to my "submit" btn:
Patch('Task Tracker List', ThisItem,{Status:varProgress})
And the previous fxn to my "complete/not complete" toggle.OnSelect:
If(Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)>=1, Set(varProgress, "In Progress"),lblStatus.Text="Complete",Set(varProgress, "Complete"))
However, the main errors that occur are:
- Patch fxn has invalid arguments...
- varProgress = blank
- Network error when using Patch function: The specified column is generated by the server and can't be specified.
I assumed the toggle.OnSelect entry wouldn't work, but tried anyway. I also tried to combine the fxns on my "submit" btn with attempts:
Patch(If( ))
-and-
If(Patch())
Do I need to establish the varProgress variable somehow to specify each option of the variable? If so, how do I do that?
@RyanJ1 ,
I'm not sure why your variable is blank. Can you confirm you are storing that variable?
I also think you should go ahead and store the Gallery ID for the Item in the Task Tracker List. When that Item is selected set a variable with the ID so that you can go back and patch the new icon value based on the ID.
Set(varID, ThisItem.ID)
Then you can Patch the new icon value (as long as varProgress isn't blank) to the correct row.
Patch(LookUp('Task Tracker List', ID=varID),{Status:varProgress})
So I didnt store the variable....wasn't exactly sure how, but now I stored it in the app.OnStart as follows:
Set(varProgress,Choices('Task Tracker List'.Status))
Then, on my "Task Requirements" Form, submit button, I entered the Patch function:
Patch(LookUp('Task Tracker List',Title=varID),{Status:varProgress})
So far, no errors with these functions (if you think I dont have them in the correct area, please let me know).
Now I dont know where exactly to put the fxn that references the variables and sources:
If(Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)>=1, Set(varProgress, "In Progress"),lblStatus.Text="Complete",Set(varProgress, "Complete"),ThisItem.Status.Value)
1. The "Requirements Form" complete/not complete toggle? (error received)
2. The "Task Form" Status value card? (error received)
3. The "Task" Gallery List, Status Icon? (error received)
@RyanJ1 ,
I'm trying to recall what is going on.
Seems like we were trying to set the varProgress based on if all the Requirement toggles in the Requirement form were completed or not? I think you should put the IF statement in OnCheck of the Checkbox in the Requirements.
I would change it to the following and add the Patch below it.
If(Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)>=1, Set(varProgress, "In Progress"),Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)<1,Set(varProgress, "Complete"));
Patch(LookUp'('Task Tracker List',Title=varID),{Status:varProgress})
One of the best helpers in powerapps is clicking the ... above the fx bar and choosing open. From there you can choose variables or collection on the left hand to see the values.
My goal for this outcome is twofold:
1. If an item from my "Related Requirements" (List2) is checked as "Complete", change my "Task Status" in "Task List" (List1) from "New"(default value) to "In Progress".
2. If all items from my "Related Requirements" (List2) are checked as "Complete", change my "Task Status" "Task List" (List1) to "Complete".
Below is a screenshot of the galleries for each list. The "Related Requirements are linked to each specified task by an assigned number (Titled "TaskNum" in List1 and "RefID" in List2).
For this outcome, what I have done so far with your help is:
1. Create labels to reference the Requirements (under the pictured "Related Requirements" gal). Successful
2. Input function in "Related Requirements" Form, complete/not complete toggle.OnCheck to reference the "Requirements Labels" and update the specified Task Status:
If(Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)>=1, Set(varProgress, "In Progress"),Value(lblComplete.Text)>=1 And Value(lblNotComplete.Text)<1,Set(varProgress, "Complete"));
Patch(LookUp('G4 Task Tracker List' ,Title=varID),{Status:varProgress})
No error returned with this function, but 'varProgress' is only returning "In Progress".
3. Input function in "Related Requirements" Form, Submit button.On Select to update the Specified Task Status in the record source:
Patch(LookUp('Task Tracker List',Title=varID),{Status:varProgress})
Again, no error returned with this function, but 'varProgress' is only returning "In Progress".
4. Input function on App.OnStart to store the 'varProgress' variable:
Set(varProgress,Choices('Task Tracker List'.Status))
No error, but varProgress is not returning the choices from the Status Column.
Current stance: As you can see in the screenshot above, the Task's Status remains "New", even though one Related Requirement is complete. I don't know where the issue is.
Also, the 'varProgress' variable in App.OnStart sometimes returns an error and doesn't reflect the variable options. I believe this is due to the referenced "Status" column being a choice selection, but I don't have this issue with my other variable that references a choice column. I'm not sure what the issue is.
@RyanJ1 ,
Take varProgress out of the App. OnStart. I don't think it is needed there. Also, Go ahead and create a Label with Text set to varProgress. Then run through the process and let's see what varProgress becomes.
I'm also thinking some of the issues are having to do with the choices column. Do you need the choices or could you work with a text column that writes the value of varProgress to it?
