Doubt about Microsoft licenses

Hello everyone,

my company has developed an app on power apps and we should now distribute them to customers, but we don't understand which licenses our customers need to use it correctly. They must have access to:

-Run an app on power apps (you don't need to be able to edit/create an app)

-Read/write on the Dataverse

-Power automate flows called from power apps (with premium connectors)

-Accessed, via power apps, to sharepoint (from power apps you upload documents to sharepoint using a stream)

-Possibly even Teams if there is a license that includes it, otherwise it is optional

I tried asking microsoft directly but they don't know.

Primary License: Power Apps per App Plan for accessing Power Apps, Dataverse, premium connectors in Power Automate, and SharePoint.

 

Optional License: Microsoft 365 Business Basic or Standard for Teams access if required.

Hey @Phaesmatos ,

Licensing can always be a bit tricky to understand. The way I like to break it down is understanding what your main data sources are and whether you need to use any premium connectors. 

When you say your customers need to use it can you clarify are these people external to your organization or are they internal but in other departments that you support?

 That said, if a user is interacting with a premium data source or connector via the app then they would require either a per app license ($5/u/a/m) or a premium license ($20/u/m). Premium licenses also make sense when your team is utilizing more than 3 apps. Keep in mind the same app used across multiple environments (Dev/Test/Prod) would also need an app pass per environment.

If the app is using only a SharePoint list as your data source and no other premium connectors than you could use the included licence in M365. But if that app uses both type of sources in the app then again your users would need premium.

As for the Power automate licencing, someone else may be able to give a better explanation but again if you are using premium connectors, you need the premium Licences. If someone is interacting with/triggering the flow, then they would need premium

Hi I'm from the same company of phaesmatos. the customers are internal (we are working in their tenant) and we found the microsoft 365 F3 licence that seems right for us (we have a doubt regarding the premium connectors but it is a problem that can be circumvented with an API call). We're still not sure by the way cause the guide about licences it is not very clear so if you can check it would be very helpful

 

Hey @stefanoesposito @Phaesmatos the version of power apps and automate in the F3 license is the same as the ones in a M365 account (See table below). So you get limited use rights which mean you can only use non premium sources and connectors.

 

That said, can you clarify what you are unsure of specifically?

 

How many apps are you creating? How many users will be accessing them?

I'm not sure if they can access the apps and use the flows. Premium connectors are not a problem, they need to be able to access one or two apps and be able to use dataverse (read and write only via app) and sharepoint. The doubt is that there are many types of licenses and I don't really understand what the limitations and advantages of each are.

Edit: in the power automate flows there are operations to the dataverse and probably they're considered Premium connectors, am I wrong? Cause if I'm not, the F3 licences isn't right I think

You are correct, based on what you are describing you need to add the premium licenses. If the users are accessing an app in any way with dataverse it is required. Either App passes ($5USD/per app) or full premium licenses ($20USD) for each user. If you are unsure, you can also find the designation of your app under the settings.

 

If it is showing standard the limited use rights licensing that is included in F3, Bus Standard, basic, or premium will work. If it is labelled as premium. Then you need to add the additional power apps licenses as described above since you either have premium data sources or premium connections. Go to the 3 vertical dots to the right of your app name and select settings.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
