Setting Alert functions on folder in Sharepoint

Good day all!

 

In creation of a SharePoint site part of my flow is to create folders and subfolders in the Documents section of said newly create site.

 

My question is, how, if possible, would I go about setting the "Alert Me" settings for specific folders that were just created?

 

Am I asking that correctly, in the correct location?  Appreciated in advance!

Hi there!

There isn’t a great way to set the “user alerts/alert me” in SharePoint from Power Automate. This is because there’s not really support for using the alerts web service or the wrapper, SPServices, from inside Power Automate. You could potentially use the HTTP action to talk to the web service, but I think it might not be necessary depending on what notifications you’re after.

Instead, I suggest setting up a flow that alerts the appropriate user(s) to changes in the document library. The trigger would be “when an item is created or modified.” You may need to be creative about how to isolate the changes you are looking for, so let me know if there’s more there you’d like to explore.

Potentially I would amend Ashley's (@AKRogers)  trigger slightly and use When a file is created in a folder as then you can select the folder. The downside is that if you have lots of folders it will result in multiple flows.

There are no actions in Power Automate that will let you set an alert in SharePoint. Usually, when there isn't a direct action you can do it through an HTTP REST call, but it appears that alerts can only be set using the UI or Client Side Object Model (CSOM).  There is no REST equivalent.   So I don't think you can use a flow to do what you are attempting.

Please see my screen shot below.  I check the "Is Folder" property for true or false.  If true, then the item created is a folder.  You can add logic to send email when folders are created in specific locations of with specific names.  Does this meet your requirements?  If so, you might also consider adding similar logic as a trigger condition rather than as a condition in the Flow.  If you do that, the Flow won't even start unless a folder has been created.

There is no any way to set the alert in Microsoft flow currently.

Good morning and thank you all so very much for responding!

 

Alas, the nice thing about utilizing the "alert me" function vs a flow is that when we hand off the sharepoint site to the team lead, they can manage the alerts going forward.  Inviting new members, removing old ones within "alert me" instead of opening the door to ALL of the flows that we have just to make these small changes.

 

Sounds like this will have to be one of those "please implement this solution Microsoft" as there isn't a function to even handle this.  Any CSOM type of solution would require executables and isn't feasible here, right?

It is possible to use CSOM in PowerShell and its also possible to have Flow invoke remote PowerShell on a server.  Both are pretty advanced, but it is possible.  Here's a post that explains how.

Please note that a Flow can send an email to any valid email address.  So, there is no need to modify the Flow as team members come and go if you use a distribution group, etc..  All that would need to be done is add/remove members from the group as they come and go should you want to use the Flow solution.  There should be no need to edit the Flows.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
