"Report requested for export is not on dedicated capacity" using Power Automate(Power BI)

Hi Team,

 

I get the below error everytime on Power automate flow. Not sure on the issue. Kindy help

How to download an Excel file from a Power BI report and send it as an email attachment at a scheduled time using power automate?

I am trying to make the same flow as you mentioned (I do not need a page seperator, just an Excel file).

However, I am getting the error message "The response is not in a JSON format".

It looks similar to this error:

Error 401: The response is not in a JSON format. - Power Platform Community (microsoft.com)

Althought, I do not have a Premium shared workspace.

Upgrading the Workspace to premium capacity fixed this issue for me.

Which costs you €4000/month?

Take a look at Premium Per User Capacity which is $20 per user on top of the Power BI Pro license.  Anyone who will view the report will also need Premium per user.

You need to create a workspace using premium capacity.  Publish your report to this workspace.

But the workspace using Premium Capacity costs €4000/month, right? Or am I missing something here.

I have been able to get around this with a bit of a workaround, using two flows. There might be a more optimal way of doing it, but after trial and error, the one solution that works best for my use case of wanting to get an email with all Power BI reports into a single email, although this can be used to design many emails all in one Flow and send the desired reports to whomever needs them:

 

1. Subscribe to all the reports and have them sent to whichever email you choose, ensuring all reports are sent at the same time - in my case every Monday at 9:00am

2. Setup a Rule to automatically move these emails to a dedicated folder in Outlook.

3. Setup a Flow with a trigger that whenever an email is received for the subscription, save the PNG attachment in a SharePoint folder.

4. Create a second Flow with the Recurrence set for one hour after the subscriptions for the reports are due to send the emails. - In my case every Monday at 10:00am.

5. Rather than trying to extract all files and create an attachment array, I get each individual file content using path. Then Compose each file with outputs('Get_file_content_using_path')?['body']['$content']. As the first Flow runs each week in my case, it simply overrides the data (new version of the file) and the link remains the same so pointing the individual files isn't broken.

6. The Compose output can then be used in the HTML Body of the Send an email (V2) in the following format: <img src=\"data&colon;image/png;base64,outputs('Compose') "alt=\"alternatetext\">

7. I further enhance the HTML by adding the hyperlinks to each report before each image

8. I also setup an AutoArchive of the email folder in Outlook where the subscription emails land to not clutter my mailbox. In my instance I set the "Clean out items older than" to 2 Weeks.

@bullmau185 Your Flow Images are extremely blurry.   I'm trying to follow what you did but just can't make out the actual selections.   Is it possible to get a clearer picture or understanding of what you did in Flow 1 to get the system to create a file in sharepoint or OneDrive?

@collabSolutions This is how Microsoft displays the images. You have to click on the image to get a clear view of it. When I click on the images myself I can read everything without issues. If that doesn't work for you then I can explain it further.

ha ha ... duh.   Thanks, I can see them now.   Should have known.   I'm still not sure this is going to work for me because the report I need to work with only has a single page, but uses the technique to hide/expose visualizations, depending on the button you pick...  Some of the images I want to get to are buried deep in the "single page", so all I get is the initial page image when subscribe to the report, All i get in the png file sent to me in email is the "executive overview" page and not any of the details that are behind it.   ( What I'm working on getting to is the "Microsoft 365 Usage Analytics", which has a wealth of info in it, and I'm trying to pull a few of screens from this report to provide to Sr. Management, without having to go in and run the reports myself manually and export out the images one by one each week or each month.)   It's a cool design that Microsoft did, but it does NOT lend itself to easy access for Sr Management folk who do not have or would not use PowerBI to get to the data.   Oh well, on to figuring out if I can do some screen scraping with Power Automate.

Has anyone tried to leverage Power Automate Desktop as a work around ? I think this might be a workable solution, where you write a power automate desktop automation that goes to the bi service webpage, exports the PDF and then downloads and stores/emails/uploads the PDF file. The desktop flow can be called from another power automate flow (scheduled or triggered). You would probably need to dedicate a machine for this, but certainly cheaper than the exorbitant amount Microsoft wants to charge for a premium capacity workspace.

 

Thinking about it, you could probably even get by with just Power Automate Report Builder and using the PA Desktop script to automate this:

 

  • open report.rdl
  • click run
  • set parameters
  • click view report
  • click export to pdf to your preferred location
  • close Report Builder

I'll try this approach and keep you posted

To be honest, I haven't even dived into Power Automate Desktop. You just informed me that there is a difference between the web service and the desktop service. I will be looking into doing this now. I'll update the thread with what I come up with.

It works quite well actually. Report builder is easily automatable using Power Automate Desktop. This would be ideal for occasional reports that you need to put out on regular intervals. I wouldn't use this for "on demand" reports as you would have to manage multiple machines running whenever triggered and potentially have to deal with concurrent requests. For this the BI Service is still the best solution, were it not for the horrendously expensive capacity license. Microsoft really shouldn't want to block exporting a PDF when you already paid for the Premium Per User, and this user might just as well do it interactively instead of in an automated way.
