automaticaly add record in dataverse table

Hi

I have a request to create a record automatically against dataverse table for this scenario.

There will be a user check in/check out app. it might be that the user will forget to check out(but he might also forget to check in) so at particular time to check if the user checked out for that day. If he didnt check out automaticaly to create a record in dataverse with checkout data. Is it only powerautomate that will do the job? i still don't imagine how to search if user checked out or not

Hi @jja,

We'll need a bit more information in order to assist you. How are check-ins / check-outs being tracked (e.g. What data source, what are the relevant tables, relationships and columns)? If it's stored in Dataverse, it should certainly be possible to do it with Power Automate but will need more details before I can recommend an optimal approach.

Yes data source is a dataverse.

Chen in check outs have a table named. TimeSheet. it has a relation within lookup column to users table caled Employes using EmpNumber as a lookup in Timesheet. Time sheet has a option field called Action. IT has IN and OUT values, it has a date field called tdate to record the date and time the user checks in and check out.

When user press IN it creates a record with the timeand date he checked in and the Action field is set to IN and user number is recorded. When checking out it adds another record with that user number, time and Action OUT. 

So let's say now it is 20:00 o clock and i want to check which users checked in today but not checked OUT. Who not checked out i want to create a record with OUT actions and set the time let;s say to their shift end 18:00.

Ok - - this should be possible with Power Automate.

• Create a schedule trigger flow (e.g. Daily at 20:00)
• Perform a Dataverse List Rows action on your Timesheet table to get checked in records from today.
  • Columns only need to include EmpNumber
  • Filter where the date is equal or greater than current date (<tdateSchemaName> ge startOfDay(utcNow()) and Action equals IN (<actionSchemaName> eq <InsertInActionChoiceValueHere>).
  • Expand Employees to include EmpNumber
  • Order by EmployeeNum
• Perform another Dataverse List Rows action to get Checked out records from today. Same as the above, except filter the Action by Out value.
  • Initialize a variable of boolean type "Is  Employee Checked Out and set it to false. 
• Add an Apply to Each action to loop over the checked in list.
  • Add Until action to loop over Checked Out list. Set the condition to EmpNum equals the EmpNum from the Checked In item
    • Add a condition action that is the same as the Until condition.
    • On the Yes branch, set the variable Is Employee Checked Out to true.
  • Add condition to check if Is Employee Checked Out equals to false. 
    • On the No branch, add Dataverse Add a Row action to create the Checked Out Timesheet record.

There may be some efficiencies that can be made to the flow using expression instead, but it's a bit more complex, so I'd use the above for simplicity.
