how show all users

Hi,

 

today i connect my admin account in power app and i need to create list of records our HW and users (in fact i need to create list of PCs and need list of all users in our organization and assign PCs to users) - all works fine (i create list of PCs and assign to users) but there is an big problem, we have about 200 people in org and there is in power apps only 81 shows so i cant assig all my PCs to users. So my question is is anyone known where may be a problem? Why there is no all my users (we have E3 and F3 licences but there is no problem).

Hi @pedacokorilo,

By the picture I assume you have a CDS environment. Only the users that have a license assigned with automatically be created in CDS. Also if your CDS environment is linked to a security group then only the users that have a license and are members of the group will be created in the environment. Double check that all your users have a proper licensed assigned in O365 which is most likely your issue.

Note to access CDS, these users required a Power Apps per user, per app licenses or Dynamics 365 type of licenses.

To add to the previous response, you will only have licensed CDS users (and optionally those linked to a security group) within the CDS environment. If you need to assign PCs to users who do not have a CDS license, you have 2 main options:

  • Use the contact entity in CDS, rather than the user entity, and assign PCs to contacts. If you use the contact entity for contacts who are not users, you could add a field to distinguish these
  • You can temporarily assign a CDS license to a user, which will cause the user to be created in CDS. Then you can remove the license, and the user record will remain in CDS. Therefore, if you temporarily assign a CDS license to each user, you will end up with all users in CDS

Unfortunately both of these approaches will need some manual intervention when new users are created in Office 365

Thanks for answer but all our users have O365 licences (E3 of F3)

 

And there is no connect which are show or not in power apps (there are some with E3 and some with F3) also some of them have PBI or another licence but thats does not matter. In attach i send just for example two users and one of the is shown in PA and the second one doesnt.

 

We doesnt use any security group for CDS.

 

And can you ask also where i can see who have or not CDS licence, all we have is E3 or F3 office 365 licence.

In attach you can see that our users have licences and for example that user i send a picture he doesnt shown in PA

Sorry for smap @DavidJennaway but you write something about security group and i checked in our setting of organization in PA admin and there is no group selected, also there is a sign Cannot be assigned to this environment. And if i click on question mark here there is a  sign
security groups cannot be assigned to default and development environments (via attachment but sorry my PA admin is in czech language but i already translate the text)

 

So maybe is there a problem but anyway why it show some users ?

Hi @pedacokorilo,

Do you resolve this? You license type is probably the issue then. It's my understanding that an E5/E3/E1 or F3 license cannot use CDS and model-driven apps, that requires a specific Power Apps license type.

So why do you have users in CDS in the first place? Not sure, Was CDS created in the Default environment? Maybe that could be the reason or maybe they had a license before which got removed?

I didnt resolved yet, but i contacted MS support so i m waiting now for them. Bud if is there a problem with E3 or F3 licenced, why it show me over 80 users  - if there no one so it could be licenced problem but in this case it is weird really.

Hi @pedacokorilo ,

 

From this article, we can know that all users in the organization are added automatically to the environment when an environment is created with a Common Data Service database or a Common Data Service database is added to an existing environment, Unless a security group is selected as an access filter.

 

If you want to add users to an environment that has a Common Data Service database, please Go to Settings > Users + permissions > Users to Add Users one by one.

 

To add users in bulk, try to associate the security group containing all licensed users with the environment, then all licensed user are added to the Common Data Service environment. For more information: https://docs.microsoft.com/en-us/power-platform/admin/control-user-access

thanks for answer but i can add user manually but i need to automaticaly add all our users in our company bcs i this case it will be double work to add new user in O365 admin and after that add them manually in power apps, so i wait for MS support to call me today (i hope) and we check it together with them. If we done i post it here where is a problem.

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
