Found references to inactive workflows: [ ADX Sign Up Email]. This workflows must be active for this portal to work corre

I am not sure what this error means or how to get rid of it. I am trying to embed a Power Bi Dashboard.  It was working - then it disappeared and I received this error.

 

HELP!!

Hi @DM4RSIU , 

 

      Can you try the portal in incognito window. While choosing Incognito window make sure to disable the third party cookie option. Please post here if you receive any error.

Hello, I have the same problem.

Workflow ADX sign up email is in deactivated state.

Navigate to  settings->Process-> Open the ADX Sign up Email workflow.

Under send email step the From field user(Domain Administrator) doesn’t exist. Change the user to  existing user and activate the workflow.

If I click on the Domain Administrator itself, I am receiving an error user not found.

Just note, that particular workflow is only required if you have the Confirm Email required, if you aren't requiring the portal user to confirm their email address then you can leave it deactivated.

Here is how you fix this issue:

1. Go to make.powerapps.com

2. Choose the correct environment on the top right corner

3. Go to Solutions on menu on the left and choose the Dynamics 365 Portals - Portal Base Workflows solution. Inside you will see the ADX Sign Up Email. You can go inside and Activate it. Unfortunately it's not that simple to activate, since there is more configuration to be done. Below is the full answer:

 

INVITATION EMAILS DO NOT SEND / PASSWORD RESET EMAILS DO NOT SEND / YOU WANT TO EDIT WHAT THE EMAILS SAY / EMAIL LINKS TO WRONG URL / ADX Signup Email Error

 

How sending emails in the customer portal works: you need an actual user inside the customer portal to exist before you can choose it to send emails out from the customer portal.

 

Quick overview of why this would fail: IF YOU NEVER CREATED YOUR OWN PORTAL FLOWS FOR THIS,  there is no mailbox set as the "FROM" field inside the default background CRM workflow that sends the emails out. Follow the guide below to fix this. I must warn you that it is a long rabbit trail. If you want instead to edit what the emails say, this guide still applies.

Note that this specific workflow is only required if you have "Confirm Email" required. It isn't necessary to have this workflow turned on if the email does not need to be confirmed. You can check if this setting is turned on by going to Portal Management > Site Settings > Active Site Settings: Authentication/Registration/EmailConfirmationEnabled

To fix the issues with emails not sending…

Navigate to Power Apps. Select the correct environment on the top right corner. Now there are two places you may want to go, depending on your issue…

 

  • FOR PASSWORD RESET EMAILS FAILING

Go to Solutions > Dynamics 365 Portals > Identity Workflows

Inside this solution package, you will find three processes: Send email confirmation, Send email two-factor, and Send password reset.

  • FOR INVITATION EMAILS FAILING

Go to Solutions > Dynamics 365 Portals > Portal Base Workflows

This solution package includes the Send invitation workflow.

There is the ADX Sign Up Email workflow if you need it. Now select the workflow that is causing you trouble. I will use the Send invitation workflow as an example.

 

It will open a separate tab.

SUPER HUGE VERY IMPORTANT:

You cannot edit or save edits to an Activated workflow. Select DEACTIVATE before making any changes.

 

Now select View Properties on the Create Email step.

Sometimes it does nothing. If it does nothing, refresh the page and try again. It should open an entirely new browser window.

 

You will see in the picture below that the FROM field is not set. If your FROM field is set, then the mailbox itself may not be configured correctly (explained further down).

If you want to change what the emails say, here is where you would change it.

RABBIT TRAIL ADVENTURE EPISODE 2:

By default, notice that the email directs people to http://localhost. You MUST change this to match your Portal URL! The entire world says that simply copying and pasting your portal URL into the premade URL in this CRM email template will work. IT DOES NOT. You can't create clickable dynamic hyperlinks in CRM 365 anymore.

 

WRONG WAY #1

Unfortunately this doesn't generate a dynamic hyperlink with the correct invitation code, it only generates a static hyperlink.

  • Open Microsoft Word
  • Type in the link that you want to create
  • Hit Ctrl-A to select the link and hit Ctrl-K to turn it into a Hyperlink.
  • Copy and paste this hyperlink into the email template.

 

WRONG WAY #2

Unfortunately this does not actually link to any URL.

  • Select Insert Hyperlink in the email template editor.

 

WRONG WAY #3

Unfortunately, any HTML inside the email template just ends up looking like HTML

  • Create a hyperlink manually by putting it inside an html <a href=""></a> element.

Setting the FROM field will fix the issue of emails not sending.

If you want to set the FROM field and it won't let you choose, you have no mailboxes set up in CRM. To set them up, navigate to make.powerapps.com > Settings >  "Advanced Settings"…

 

 

 

 

Then go to CRM Settings > Email Configuration > Mailboxes

As for the ADX Process, the reason ours wasn't working was because it was not activating. It was not activating because of one error:

Select Set Properties on that one error step. If it says the FROM email is the "Domain Administrator", that is the cause of your error. Change it to a mailbox that actually exists inside your portal.

 

 

Finally, you can also troubleshoot these emails by going to CRM Settings > System Jobs

There you can check the status of your invitation workflow.

 

 

 

If you click on the System Job Name (Send Invitation), it will open a new window with more details on the error.

 

Notice that the Owner of this system job matters. The owner has to be a global administrator for the job to get close to working.

 

 

Furthermore, make sure the contact has email allowed (Portal Management > Contacts > Contact > Details > Contact Preferences > Email: Allow

 

 

 

Remember to go into CRM email settings for the mailbox that is sending emails and run Activate, Approve email, and Test and Enable Mailbox.

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
