Automatic Folder Creation

Hello, I am trying to automate folder creation within a specific Document Library in Sharepoint. 

Within a the specified document library, we have individual folders that are permission controlled. 

Document library 1 > List Item 1 (permission controlled) > Folder Created by USER> Sub folder creation automation

 

I want to have an automation run in the Folder Created by USER.

 

My current flow is pictured below:

It has a few challenges including: 

 

1) It will run in BOTH the 'List Item 1' AND Folder Created by USER

- I want it to ONLY run in Folder Created by USER

2) it will consistently re-run in 'List Item 1', 

3) When I remove 'List Item 1 (Sales Person 1) ' from the Apply to Each function, it works smoothly and does not re-run, but it copies the Folder Created By USER in 'List Item 1' to the Library (3.0 Sales) and runs the automation in that file / folder.

@1APM The reason your flow is triggering for the subfolders you are creating is because the trigger of your flow is When a file is created (properties only). 

 

This trigger will fire whenever a new file or new folder is created.

 

To solve your issue you will need to utilize the Trigger Conditions in your flow trigger. Before you do this—I'd like you to create a new flow with the same trigger as your current flow.

 

Add Compose Actions

Add two Compose actions to your flow. Tip: Rename your actions to keep things organized. 

 

In the first Compose action, insert the Name dynamic content from your flow trigger. In the second Compose action insert the IsFolder dynamic content from your flow trigger.

Run a test. In your folder that you've specified in the flow trigger, create a new folder

 

The output of the first Compose action will display the folder name. The outputs of the second Compose action will display a true (indicating that it is a folder).

Run another test. This time, create a file. The second Compose action should display false (indicating that it is not a folder). 

 

Add a Trigger Condition for Folders Only

If you aren't familiar with how to create expressions for Power Automate, use a Filter Array action to help you Compose the expression.  

 

Add a Filter Array action to your flow. You'll just use this to create the expression and delete it afterwards. You don't need to insert anything into the From field. 

 

In the first value field insert the IsFolder dynamic content. Leave the operator to is equal to.

In the second value field insert the word true (lowercase). Click on Edit in Advanced mode.

Copy the entire expression to your clipboard.

In the flow trigger, click on the three dots and select Settings.

Paste the expression into the Trigger Condition field. As indicated with the note below the Trigger Conditions header, it says that all expressions must be true for the trigger to fire.

Important: Delete the Filter Array action (it was only added to help you to create the Trigger Condition expression)

 

Run a test. Try to create a file first. You should see that the flow will not trigger. Next, create a folder—the flow should trigger.

 

In the outputs copy the first portion of the folder path (the path for the Main Folder that you'd like the flow to trigger on) to your clipboard.

Add Trigger Condition for Root Folders Only

Next, you'll need to add an additional Trigger Condition to ensure that the flow will only trigger for root folders (not the sub folders).

 

Repeat the same steps as above but for the Folder Path

 

Add a Filter Array action. In the first value field, insert the Folder path dynamic content from the Trigger. Leave the operator as is equal to.

Paste the folder path from your clipboard into the second value field.

Click on Edit in Advanced mode and copy the expression to your clipboard.

Add a new Trigger Condition and paste the expression from your clipboard.

Important: Delete the Filter Array action (it was only added to help you to create the Trigger Condition expression)

Run a test.

I am super inexperienced so I had to take this slowly. Once I complete what you have posted above, I should add back in the original flow that triggered new folders?

@1APM You can either add your original actions to the new flow or you can add the Trigger Conditions to your original flow. Whatever you prefer.

 

Hopefully you deleted the Filter Array actions (forgot to add a note to delete those in my original post). They were only meant to be added temporarily. 

 

The Compose actions are not necessary for your flow to run. However, they can help you troubleshoot if you run into issues with your flow.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
