Flow to apply Multiple Managed metadata

Hi,

I am new to using MS flow (Power Automate) and I am still finding my way around this application.

Also I am new to this forum so I apologise in advance if the information below feels incomplete.

I am trying to design a flow for a SharePoint library. In this library there is a Region column which permits multiple managed metadata tags. The flow that I am trying to create applies a specific region metadata tag when a particular text is present in the file name. This works fine when its just one tag to apply however, the flow fails when it tries to apply multiple tags.

From what I have researched and understood that with managed metadata it must be in 'Tag Label|GUID'  format which is what I have currently. This works well when its only one tag to apply. However, when its mutiple tags I get this error 'The given value for a taxonomy field was not formatted in the required <int>;#<label>|<guid> format.'

I then updated my flow to apply metadata tag to 'Wssid;#Tag Label|GUID'  I then get this error 'The data returned from the tagging UI was not formatted correctly'.

By this time I feel I am running around in circles and therefore would like some expert guidance to takle this hurdle.

Below is the snapshot of the key steps of the flow I have created. In the compose action I have used contains expression to define the outputs in various scenarios i.e. whether filename contains text AU or SG or DXB etc

In the below action I have used the conditional expression if to apply the relevant tag when the output in the compose action above is true

Hi @Anonymous ,

Could you please share the screenshot of the flow with each action's configuration se we could reproduce your issue?

Please share the run history of the flow and share the error message so we could better understand your issue.

Also please share the steps to create the Multiple Managed metadata field that would case the issue.

Best Regards,

Alice

Hi @v-alzhan-msft ,

Thank you looking into this for me

I realised in my original post I missed out a screenshot, I have added this now.

The original flow I have is too long to screenshot in one image so I have shortened it to the following:

image.png

The compose action fileds are below:

image.png

The update file property is as below:

image.png

The managed metadata tags in the update file property action are in the following sequence:

1) if AU is true then Australia

2) if SG, TG, MH, VN is true then South East Asia

3) if DXB is true then Middle East

I performed some test runs with this flow and noticed that the multiple tags will work if they are applied in sequences i.e. the tags does not work for when filename contains AU & DXB. It will work otherwise.

Let me know if you require any more details.

Hi @Anonymous ,

You should consider the case:

filename contains AU & DXB;

filename contains AU &  DXB;

filename don't contains AU & contains DXB;

Best Regards,

Alice

Hi @v-alzhan-msft ,

This would work if I had just three region scenario were needed to be updated however, in actual fact I have more than three regions such as North America, South America and Asia also. For design and ease to take screenshots I have created the test for 3 regions.

The bit I cannot get around here is that if the tags are needed to be applied in sequence. If there is a blank tag in between then the format error occurs.

Thank you.

Hi @Anonymous ,

The only way is to consider all the cases.

Best Regards,

Alice

Hi @v-alzhan-msft ,

That is correct but how do you suggest I go about achieving this?

Kind Regards
