Add multiple filtered array items to CSV

Hi

 

I'm working on a data management flow on the premise that new rows will be added to a sharepoint list, I want to build a CSV that included all items added to the list where a certain column condition is met (Column: Rep Owner)

 

Here is my initial list

And my flow in its current form looks like this

in it's current form it is basically not working as i want..it's looping over every instance of the items in the list, building a csv with 1, 2, 3 and 4 items in it. I realise this is because the create CSV block is inside the loop but i don't know how to bring it outside of that and still work? Also i'm not sure my filter array is working as my flow fails with this block in as as 'Rep Owner' that is not 'Owner1' is still being queried and failing.

 

I feel like i need to filter the array more effectively so only items with Rep Owner 'Owner1' are included here but how do i only generate 1 CSV file with all relevant items in it??

 

I also then want to repeat this logic so it works for Owner2 rep owner items as well,

 

once these tables are built, i'll trigger an email to send the reports out to each rep owner

I would take a completely different approach:

It seems to me that your trigger is when a new item is created, but you are not all that interested in the data contained within that new item, but actually all the items in the list.

So I would do something like this:

  1. New Item is created.
  2. Get all the rows in the table.
  3. Create a unique array of reps from the list rows action.
  4. Loop around each unique rep
    1. Within that loop, filter the output of the get items action based on the rep code of the loop
    2. Create the CSV on the based on the output of the filtered data
    3. Email the CSV

Does that make sense? It is much less complicated than the method you are attemping.

The sharepoint list of items i have will be added to frequently, the approach you mention will generate a CSV of every item on the list by a certain Rep Owner right? can i use your method to limit  the csv to only include newly added items to the sharepoint list, not every list item by that Rep Owner?

Yep, I was slightly confused about what you are trying to do based on your trigger being when a new item is created. It sounds like a scheduled flow might suit you better. Where it gets items created over a certain time period (today for example). 

 

If you do want to trigger based on "When an item is created" what rows are you looking to include, or is it just the one that has just been generated?

i guess it might help to explain how i'm recieving data for the sharepoint list.. 

 

i will recieve a table with a number of rows, this table then gets copied and pasted into the sharepoint list.  So for my example list i showed above i have copied and pasted 2 rows into the list for Rep Owner1 and i want to generate a CSV that only include those 2 rows.  next time more rows are pasted into the list, i just want to trigger to only pick up on the newly added items and generate a new CSV.  That's why i used the 'when a new item is created' trigger or do you think a scheduled flow would make more sense here?

The reason I think that is because you are inserting multiple rows into a list, the flow will be triggered for every insertion. So even if you are using an automatic process, if you add ten rows, you will get 10 executions of your flow. Which is why I didn't feel it was the right method (but I am also happy to be wrong - I could have easily misunderstood).

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
