Adding people to a group based on Form answers

Hi all,

 

I am trying to create a flow which works from survey responses. The aim is that the person who enters the survey is placed into a particular group based on their answers in the survey. There are twi flows involved:

  • Record form responses in SharePoint; works perfectly fine. The form responses are then placed into Sharepoint.
  • Add a new member to Office365 Groups on Microsoft Forms submission

It is the above flow that's the problem. It follow the following path:

  • Trigger: When an item is created or modified in SharePoint.
  • List group members
  • Condition: If value 1 is less than value 2 AND if value 1 is less than value 3 AND if value 1 is less than value 4 etc..
  • If yes: Add members to group 1
  • If no: Add member to group 2

It is on the condition it keeps failing. It constantly uses the error message: "One or more added object references already exist for the following modified properties: 'members'.". I think it keeps trying to add me to the group, but I want it to add the person who filled out the survey.

Hi!

Which type of value are you adding to your sharepoint list, so you evaluate it on your condition? Is it the email address?

I am adding multiple values. I am a teacher, so students are ranking themselves from 1-10 on confidence on different units. I then want the lowest rated unit to be the group they are added to. There are 8 different groups! I want them to be added based on their email 🙂

So you have 7 condition rules inside your Condition action block, all of them agregated by means of 'And' operator.

So, are the Sharepoint columns you are assigning to them either of type 'Single line of text'... or 'number'?

 

Probably it's me, but I do not understand the current 'Add member to group' strategy:

-You first get 'List group members' so in the O365 group you already have some students

-Now, in both of your Condition branches... on the true branch you iterate over all the students already belonging to the GRoup A O365 group, and assign them again to GRoup A... on the false branch, you iterate you iterate over all the students already belonging to the GRoup A O365 group, and assign them to GRoup B

 

But, I believe in your Sharepoint item that triggers this flow you are storing somewhere the email address of one student, right? IF so, are you storing in this Sharepoint item his/her email address?

If the answer of this new question is also yes, I believe you have to remove Apply to each from both branches, just keep 'Add member to group', and assign as its input the 'Sharepoint item' student email column

Thought I'd add my solution.
I created a Microsoft Form and have just added it into a Teams Channel in my company,
Users can go into it and select which application they want to install, an approval request gets sent to their manager, and then the application automatically installs onto their computer/licenses/creates any other accounts required after approval.

The form contains multiple entries, for example - Adobe Reader, Adobe Acrobat DC.

The solution I found for having multiple answers and then adding users to groups based off a response/multi choice is to just create multiple 'Conditions'.
Eg:

It's probably not the most efficient way to do what you're wanting to do, but you can copy the condition and paste it into a new line, then the only things you need to change is the condition "Is equal to %whatever you want%" and the group ID.

I should also note, I only allowed a single response in the Microsoft Forms, if you allow multiple responses, I believe you'll need to change the "Is equal to", to "Contains".

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
