Automated email when a form is submitted

Hi all I was wondering if anyone could help me please. 

I am trying to set up a flow for when a form is submitted an email is sent out. However the type of email will depend on if some criteria has been met. 

Context: The form is a submission form that parents will complete for their child with regards to work experience and will contain information such as name of placement, duties to be carried out, contact details etc.

 

Set up: I have 2 SharePoint lists, the first is called Work Placement and this is a list of placements that are approved and hold a valid risk assessment and insurance details, the second list is a list of duties that a student could do whilst on placement and the level of risk we believe it poses. 

What I need is when the form is submitted if the placement that has been chosen is on the approved list, then an email is sent to an email address provided on the form containing the student details. If the placement is not on the approved list then it will need to look at the duties and based on the duties and what risk level it has send an email informing the placement that they are considered either, low, medium or high risk and will need to complete and submit a risk assessment and insurance details. I have a flow already set up but it isn't working. It will either class everything as approved, high risk or no email will be sent out. On the form the duties and work placements have a drop down menu populated with the exact same items that are in my two lists. can anyone help me with this.

Hi @pgeory ,

 

The logic in your flow is not appropriate. The Apply to each control is not needed, so inputs in Condition control are not correct as well. Based on your description, the flow will be like below:

It was saying that the Risk_Rating field value is blank. Could you please check it in the run history?

Hi @pgeory ,

 

Seems like nothing returned in the Get items or Filter array action, they both ran for 0 second. Please expand the Filter array history and see if the result is blank. In addition, please double check if you have selected correct dynamic contents in the filter array action, especially the input 'value' from Get items 2.

Get Items 2 Output there is a lot there however for the filter array 2 i just have 

[]

So, it means nothing is found in Duties list on the condition of the submitted duty. What's the condition are you setting in Filter array? Have you selected correct "value" from Get items 2? Can you find a record in the outputs of Get items 2 based on the submitted duty?

Check the Duties column value in the list and submitted duty choice value in the form, see if there is any difference between them, especially the cases and spaces.

Hi @pgeory ,

 

Add a Compose above the Filter array 2, set the value to the answer of question 6, run the flow and check the run history, double check the outputs of Compose and Get items 2, see if the values of duties are exact the same.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
